About Excellis IT

Excellis IT Private Limited is a Kolkata-based IT & ITES company providing web development, mobile app development, software solutions, digital marketing, and BPO services to clients across India and international markets including the USA, UK, Australia, and other regions.

We are looking for an experienced HR Manager who has strong exposure to the BPO industry, especially in hiring for domestic and international voice/non-voice processes. The ideal candidate should be capable of managing end-to-end recruitment, employee relations, HR operations, attendance, performance coordination, and workforce planning for our growing BPO and IT teams.

Role Overview

The HR Manager will be responsible for managing the complete HR function of Excellis IT, with a strong focus on BPO hiring, employee engagement, HR compliance, onboarding, retention, and daily HR operations.

This role requires someone who understands the urgency, volume, and quality requirements of BPO recruitment and can independently handle hiring for multiple processes, shifts, and client requirements.

Key Responsibilities1. BPO Recruitment & Talent Acquisition

The candidate must have hands-on experience in hiring for BPO operations, including:

  • Domestic and international voice process hiring
  • Non-voice process hiring
  • Customer support executives
  • Telecalling and telesales executives
  • Team leaders and quality analysts
  • Process trainers
  • Back-office executives
  • Night shift and rotational shift hiring
  • Bulk hiring based on business requirements

The person should be able to manage the complete recruitment cycle, including:

  • Understanding hiring requirements from operations teams
  • Preparing job descriptions and hiring plans
  • Sourcing candidates from job portals, LinkedIn, references, social media, consultancies, and walk-ins
  • Screening candidates based on communication skills, process fit, shift flexibility, and experience
  • Scheduling interviews with operations teams
  • Coordinating salary negotiations
  • Releasing offer letters
  • Ensuring timely joining and documentation completion
  • Maintaining a strong candidate pipeline for urgent BPO hiring needs
2. HR Operations & Employee Lifecycle Management

The HR Manager will be responsible for handling employee lifecycle activities, including:

  • Employee onboarding and induction
  • Joining formalities and documentation
  • Employee database management
  • Attendance and leave coordination
  • HR policy implementation
  • Exit formalities
  • Full and final settlement coordination
  • Maintaining employee records and HR reports
  • Coordination with payroll/accounting team
  • Ensuring proper shift-wise employee data management
3. Employee Engagement & Retention

The candidate should be able to improve employee engagement and reduce attrition, especially within the BPO team.

Responsibilities include:

  • Understanding employee concerns and resolving basic workplace issues
  • Conducting regular employee connects
  • Supporting team leaders and managers in handling employee-related matters
  • Planning employee engagement activities
  • Monitoring absenteeism and attrition trends
  • Identifying retention risks and taking preventive steps
  • Creating a positive and disciplined work environment
4. Performance & Discipline Management

The HR Manager should support management in maintaining performance discipline and workplace standards.

Responsibilities include:

  • Coordinating performance reviews with department heads
  • Supporting warning letters, improvement plans, and disciplinary actions
  • Maintaining punctuality, attendance, and shift discipline
  • Ensuring employees follow company policies and workplace guidelines
  • Supporting team leaders in handling performance-related escalations
5. Workforce Planning & Coordination

The candidate will work closely with the management and operations team to understand manpower requirements and plan hiring accordingly.

Responsibilities include:

  • Preparing monthly hiring plans
  • Tracking open positions and closures
  • Maintaining recruitment dashboards
  • Planning backup resources for BPO processes
  • Coordinating with department heads for upcoming resource needs
  • Supporting scale-up plans for new processes and campaigns
6. Compliance & Documentation

The HR Manager should ensure that all employee documents and HR records are properly maintained.

Responsibilities include:

  • Maintaining offer letters, appointment letters, ID proofs, educational documents, experience letters, and other records
  • Ensuring proper HR documentation for audits and internal reviews

Required Skills & Experience

The ideal candidate should have:

  • Prior experience as HR Manager, Assistant HR Manager, HR Executive, or Talent Acquisition Manager in a BPO/ITES company
  • Strong experience in hiring for BPO voice and non-voice processes
  • Good understanding of domestic and international BPO hiring requirements
  • Ability to manage bulk hiring and urgent closures
  • Strong communication and interpersonal skills
  • Good negotiation and coordination skills
  • Experience in using job portals, LinkedIn, references, social media, and recruitment agencies
  • Ability to handle employee relations and workplace issues professionally
  • Good knowledge of HR operations, onboarding, attendance, documentation, and exit process
  • Ability to work in a fast-paced environment
  • Strong reporting and Excel skills
  • Good understanding of shift-based operations
Preferred Qualifications
  • Prior experience in IT/ITES company will be an added advantage
  • Experience in handling BPO teams working in multiple shifts will be preferred
  • Knowledge of payroll coordination and basic compliance will be an advantage
