About the Role

We are looking for a Business Operations Executive to support MatBooks commercial operations, documentation workflows, and database development.

This is a hands-on execution role focused on maintaining clean, structured documentation, refining existing databases, and generating high-quality buyer and supplier lead databases for the sales and sourcing teams to engage with.

Key Responsibilities

1. Quotation, Billing & Documentation Support

• Support preparation and documentation of customer quotes and invoices using defined templates
• Ensure accuracy and completeness of data in quotes and billing documents
• Maintain proper documentation trails for commercial records
• Coordinate with finance and operations teams for corrections and updates

2. Database Refinement & Management

• Review, clean, and refine existing customer database
• Review, clean, and refine existing supplier/manufacturer database
• Update and maintain product and catalogue databases, including:
• Product descriptions

• Specifications
• Categories and pricing references
• Ensure data consistency, accuracy, and ease of use across systems
• Analysis of Data as and when requested, under guidance

3. Lead Database Generation

• Research and build new lead databases for:
• Sales teams (buyers, developers, contractors, architects, procurement teams)
• Supplier teams (manufacturers, exporters, material producers)
• Identify relevant companies, decision-makers, and contact details
• Organize leads in a structured format aligned with internal tools and CRM requirements

4. Documentation & Systems Support

• Maintain a structured drive repository for:
• Quotes
• Invoices
• Catalogues
• Customer and supplier records
• Upload and update documentation and databases in MatBooks internal tools
• Review documentation formats and workflows and share practical feedback to improve usability and efficiency

Qualifications

• 24 years of experience in documentation, operations, data management, or lead generation roles
• Strong proficiency in Excel / Google Sheets

Get Hired
• Comfortable with structured data, large spreadsheets, and documentation workflows
• Experience in:
• Lead research
• Database creation
• CRM or internal tools (preferred but not mandatory)
• Prior exposure to B2B, import-export, construction, manufacturing, or marketplace businesses is a plus
