Job Description
Assists in configuring and maintaining UCM systems, MS Teams and O365, troubleshoots user issues, and performs basic system administration tasks. IT services expected will be related to this area of operation involve the management, deployment, and support of technologies and systems that deal with audio and video content. These are:
Video Conferencing Services
- Implementation and support of video conferencing platforms for virtual meetings and collaboration.
- Integration with other collaboration tools and platforms.
- Deployment and management of unified communication systems that integrate voice, video, messaging, and presence information.
- Ensuring seamless communication across different channels.
- Designing, installing, and maintaining audio-visual systems for conference rooms, auditoriums, and other spaces.
- Integrating projectors, displays, sound systems, microphones, and control systems.
- Providing services for hosting webinars and online events, including platform selection, setup, and technical support.
- Integrating registration systems and ensuring a smooth user experience.
- Setting up and managing live streaming solutions for events, conferences, and other live broadcasts.
- Ensuring reliable and high-quality streaming performance.
- Implementing and managing digital signage solutions for displaying dynamic content in public spaces.
- Content creation, scheduling, and monitoring.
- Providing editing services for recorded audio and video content.
- Enhancing and optimizing content for various platforms.
- Implementing and managing CMS for organizing and distributing audio and video content.
- Ensuring proper storage, accessibility, and version control.
- Designing and optimizing network infrastructure to support high-quality audio and video transmission.
- Implementing Quality of Service (QoS) mechanisms for prioritizing multimedia traffic.
- Implementing security measures to protect audio and video content from unauthorized access.
- Ensuring compliance with data protection regulations, especially when dealing with sensitive content.
- Advising on the selection and procurement of audio-visual equipment and software.
- Negotiating with vendors and ensuring compatibility with existing IT infrastructure.
- Providing training to users on how to use audio-visual technologies effectively.
- Offering technical support and troubleshooting assistance for audio and video-related issues.
Implementing solutions that enable remote collaboration, including virtual whiteboards, document sharing, and real-time editing.
Email System Management
- Administer and maintain the organizations email system (e.g., Microsoft Exchange).
- Monitor email server health, performance, and storage utilization.
- Implement email security measures, including spam filtering and antivirus protection.
- Create, modify, and deactivate user accounts on messaging and collaboration platforms.
- Manage user permissions, access levels, and distribution lists.
- Respond to and resolve email-related issues reported by users.
- Diagnose problems such as email delivery failures, synchronization issues, and connectivity problems.
- Administer collaboration platforms such as Microsoft Teams, or other team collaboration tools.
- Configure settings, channels, and integrations to meet organizational needs.
- Support video conferencing tools (e.g. Microsoft Teams) for virtual meetings.
- Troubleshoot audio/video issues and connectivity problems during online meetings.

- Manage document collaboration tools like Microsoft SharePoint, OneDrive, or other file-sharing platforms.
- Ensure proper access controls, versioning, and document sharing capabilities.

- Communicate updates, changes, and best practices to users regarding messaging and collaboration tools.
- Provide user guides and documentation for self-help.
- Gather feedback from users regarding their experience with messaging and collaboration tools.
- Use feedback to identify areas for improvement and optimisation.
