Job Description

The Sales & Admin Coordinator will provide support to the sales team and ensure smooth daytoday administrative operations. The role includes quotation preparation, purchase coordination with manufacturers and shipping companies, tender submissions, billing support, stock monitoring, customer follow-ups, and general administrative coordination.

Key Responsibilities:

Sales Coordination:

Prepare accurate and timely sales quotations for customers.

Maintain quotation records and follow up with customers on pending offers.

Support tender preparation and submission within deadlines.

Regularly follow up with customers on quotations, orders, and payments.

Purchase & Logistics Coordination:

Coordinate with manufacturers and suppliers to arrange purchases as perrequirements.

Liaise with shipping companies and freight forwarders for delivery schedules,shipment tracking, and documentation.

Track order status and provide regular updates to the sales team and customers.

Billing & Finance Coordination:

Coordinate with the finance team to prepare and release invoices on time.

Ensure accurate billing and payment allocations through regular follow-up.

Reporting & Documentation

Maintain updated records of quotations, orders, tenders, and billing.

Update and monitor stock levels to support order planning and inventory control

Generate periodic sales, stock, and follow-up reports for management.

Administrative Support

Handle general office administration and coordination tasks.

Assist in scheduling meetings, preparing documents, and maintaining filing systems.

Provide support to management and colleagues as needed.
