Position: Job Title: Front Desk Executive
Location : Opposite UB City Mall, Level Road Bangalore
Department : Administration/Reception
Job Summary : The Front Desk Executive is the first point of contact for visitors and clients, responsible for providing excellent customer service, managing front office operations, and ensuring a smooth and efficient reception area. This role involves handling inquiries, managing appointments, and supporting administrative tasks.
Key Responsibilities
- Reception Management :
- Greet and welcome visitors and clients with a friendly and professional demeanor.
- Answer, screen, and forward incoming phone calls promptly and accurately.
- Provide basic and accurate information in-person and via phone/email.
- Visitor Coordination :
- Maintain a visitor log and issue visitor badges.
- Inform relevant staff members of visitor arrivals and direct visitors to the appropriate person or department.
- Manage the reception area to ensure it is clean, organized, and presentable at all times.
- Administrative Support :
- Schedule and manage appointments, meetings, and conference room bookings.
- Receive, sort, and distribute daily mail and deliveries.
- Assist with basic clerical tasks such as filing, photocopying, and data entry.
- Customer Service :
- Address and resolve customer inquiries and complaints in a professional manner.
- Ensure a positive visitor experience by providing exceptional customer service.
- Handle special requests from visitors and employees as needed.
- Security and Compliance :
- Monitor and maintain security by following procedures, such as issuing visitor badges and maintaining a secure and safe work environment.

- Adhere to company policies and procedures, ensuring compliance with all regulations.
- Coordination and Communication :
- Communicate effectively with internal staff and departments to ensure seamless operations.
- Keep the management informed of any significant issues or disruptions at the front desk.
- Maintain an up-to-date directory of internal contacts and departments.
- Education : High school diploma or equivalent; additional certification in Office Management or related field is a plus.
- Experience : Proven work experience as a Receptionist, Front Desk Representative, or similar role.
- Technical Skills : Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., fax machines, printers).
- Communication Skills : Excellent verbal and written communication skills.
- Experience in handling a busy front desk in a corporate or hospitality environment.
- Ability to manage stressful situations with poise and professionalism.
- Familiarity with telephone systems and office software.
