Position Summary
The Order Processing Assistant will support the end-to-end order management process, ensuring that customer orders are accurately received, entered, and processed in a timely manner. The role is responsible for the preparation, acceptance, and processing of orders in the ERP system, and for ensuring smooth collaboration between the Sales, Logistics, and Finance teams within the assigned geographic area or business scope.
Key Responsibilities
- Responsible for taking orders directly from customers or sales Executives via email and processing them in the ERP system
- Process orders using available automation tools (EDI, RPA, or intelligent document processing tools) and ensure they are accurately processed in the ERP system without errors
- Verify order details, including pricing, product codes, and delivery requirements
- Respond to customer enquiries (emails and phone calls) using best-practice guidelines
- Ensure all customer queries are investigated and resolved, escalating issues to the supervisor
- Perform daily checks for duplicate orders, missing orders, item changes, etc.
- Process orders within the defined timelines and ensure internal order cut-off times are met on a daily basis
- Support the management of order-related documents, including invoices, delivery notes, and confirmations
- Send daily order confirmation reports to warehouse and distribution, including all required LPO copies
- Track pending orders on a daily basis and coordinate with the distribution team to ensure timely delivery
- Responsible for daily closing procedures, including reconciliation of processed orders versus orders received

Qualifications & Experience
- Experience in customer service, order processing, or administrative support
- Strong attention to detail and accuracy in data entry
- Good organizational and time-management skills
- Effective communication and problem-solving abilities
- Ability to work in a fast-paced, team-oriented environment
