Job Description
Role Overview
The Associate Manager Administration (Space Management) is responsible for end-to-end governance of organizational space planning, utilization, and facilities operations. The role focuses on space data management, agreement lifecycle oversight, and financial validation of airport and office space costs, while driving cost efficiency, compliance, and operational excellence through data-driven analysis and strategic planning.
Key Responsibilities
1. Space Management, Data Governance & Optimization
- Lead space planning, allocation, and optimization for office, airport, and operational premises in line with business requirements.
• Maintain accurate and centralized records of space utilization and allocation across all premises, ensuring data integrity through periodic audits and reviews.
• Develop and manage space utilization dashboards and MIS to support leadership decision-making and capacity planning.
2. Data Analysis & Financial Oversight
- Analyse space and facilities data to identify efficiency improvements, cost optimization opportunities, and utilization gaps.
• Conduct financial analysis of administrative and facilities-related expenditures.
• Prepare monthly provisioning, budgeting, and variance analysis reports for management review.
• Review and validate airport space-related invoices to ensure accuracy, correct application of rates, and compliance with approved space agreements.
3. Space Agreements, Contracts & Commercial Management
- Oversee drafting, renewal, amendment, and compliance of space lease and usage agreements with airport authorities and other relevant regulatory bodies.
• Manage commercial terms, billing structures, and contractual obligations related to space and facilities.
• Ensure adherence to SLAs, contractual clauses, and statutory requirements; maintain audit-ready documentation.
• Support commercial negotiations and resolution of billing or contractual discrepancies in coordination with stakeholders.
4. Business Case & Strategic Support
- Prepare and evaluate business cases for new space requirements, reorganizations, renovations, and asset procurement.
• Provide analytical inputs to support long-term space strategy and infrastructure planning.
5. Asset & Facilities Management
- Oversee asset lifecycle management, including planning, deployment, maintenance, and disposal.
• Plan, monitor, and execute repair, refurbishment, and renovation projects in alignment with budgets and timelines.

6. Vendor & Stakeholder Coordination
- Act as a key point of contact for internal stakeholders, airport operators, regulatory bodies, and external service providers.
• Monitor vendor performance, ensure service delivery as per agreed terms, and drive continuous improvement initiatives.
• Provide guidance and functional oversight to junior team members involved in administration and facilities activities.
Qualifications & Skills
- MBA / PGDM in Finance, Operations, or Facilities Management (preferred).
• 58 years of relevant experience in space management, facilities administration, financial analysis, or contract management.
• Strong understanding of space lease agreements, billing mechanisms, and compliance requirements, preferably in airport or large infrastructure environments.
• Proven analytical, budgeting, and commercial management capabilities.
• Excellent negotiation, coordination, and stakeholder management skills.
• Proficiency in MS Excel, MIS/data analytics tools, and ERP systems.
• Knowledge of compliance standards, SLAs, and audit processes.
