Purpose And Scope
The Webinar Expert is part of the Customer Engagement Excellence (CEE) team within the broader Value Delivery organization. CEE is an integrated global group focused on supporting capabilities across VALUE Delivery, including Commercial (Sales/Marketing), Market Access and Medical Affairs, to enhance delivery and outcomes to the business, whilst prioritizing ethical decision making. During all such activities, there is a need to ensure that the integrity and independence of Medical Affairs capabilities is not compromised.
Astellas is advancing digital engagement to transform healthcare, and the Digital Engagement Centre (DEC) is at the forefront, driving omnichannel excellence in HCP engagement. The Webinar Expert is a pivotal role within the Global Capability Center (GCC), to deliver end-to-end webinar production and execution to deliver excellent customer experience for strategic brand(s) or product(s) across Europe, South America, the Middle East, and Asia. Working without direct reports and operating in a fast-moving agile, matrix environment, this role supports local market activation and exercises significant influence through expertise and cross-functional collaboration. The Webinar Expert will plan, coordinate, set up and execute virtual webinars, hybrid events, and digital scientific meetings for HCPs, patients, and internal stakeholders in alignment with local customer engagement planning. The role manages the end-to-end webinar lifecycle, including speaker coordination (if applicable), registration setup, technical configuration, rehearsals, live moderation, troubleshooting, and post-event reporting. This role combines technical expertise, analytical thinking, and operational excellence to ensure seamless webinar execution across multiple brands. You will work in a high-paced, ambitious and highly collaborative matrix organisation. The role requires an entrepreneurial mindset combined with disciplined execution, championing best practice, digital innovation, and continuous optimisation to drive measurable outcomes for patients, healthcare professionals, and the business.
Responsibilities And Accountabilities
- Plan, coordinate, and execute virtual webinars, hybrid events, Advisory Boards (AdBoards), and digital scientific meetings for HCPs, patients, and internal stakeholders.
- Manage the end-to-end webinar lifecycle, including speaker coordination (if applicable),webinar production, registration setup, technical configuration, rehearsals, live moderation, troubleshooting, and post-event reporting.
- Produce and deliver events using ONOMI (formerly SpotMe) as the primary webinar and engagement platform, maximising the product using basic and advanced features
- Configure, produce and manage events using Veeva Events Management and Veeva CRM tools, ensuring accurate attendee tracking and compliant data capture.
- Collaborate with Digital Campaign Managers, Digital Content Managers and local cross-functional brand teams to align webinars with broader engagement strategies.
- Advise global brands and local affiliates across Europe, the Americas, and international markets on the best webinar customer experience and understanding the market requirements adapting webinar formats to local needs and regulations.
- Integrate webinars into omnichannel customer journeys, including CRM follow-ups, digital campaigns, email automation, and remote engagement programs.
- Apply AI and advanced analytics tools to:
- Optimize audience targeting and segmentation
- Support Next Best Action (NBA) recommendations
- Generate automated engagement insights and reporting
- Personalize attendee experiences and follow-up workflows
- Monitor real-time event engagement metrics and provide data-driven optimization recommendations.
- Ensure all webinars meet pharmaceutical compliance standards, including promotional regulations, AE reporting, privacy laws, and consent management.
- Coordinate with internal teams and external vendors to ensure seamless technical delivery and high-quality user experience.
- Maintain documentation, SOP adherence, and best practices for webinar execution within the Digital Engagement Center.
- Identify and implement innovative digital engagement formats and emerging webinar technologies.
- Bachelors degree in business, IT, marketing, Communications, Digital Media, Life Sciences, or related field.
- 3–5+ years of experience in creating, producing and managing webinars, virtual events, or digital engagement programs in pharmaceutical, biotech, healthcare, or regulated industries.
- Hands-on experience setting up, producing and executing events using ONOMI (formerly SpotMe) including event setup, attendee engagement features, analytics, and reporting.
- Certification or formal training in ONOMI platform event execution and management.
- Experienced creative thinker in webinarproduction to deliverbest-in-class customer experience and engagement.
- Curiosity and growth mindset in keeping up with new technology product features and latest Astellas Congress & Events standards.
- Experience using Veeva Events Management, Veeva CRM Events, and other pharma event platforms.
- Strong understanding of pharmaceutical compliance processes, MLR reviews, and regulatory requirements.
- Experience integrating webinars into omnichannel campaigns and CRM workflows.
- Knowledge of digital engagementanalytics and reporting tools.
- Strong project management skills with ability to manage multiple concurrent webinars.
- Experience collaborating with cross-functional teams including Marketing, Medical Affairs, Sales, IT, Compliance, and Digital Subject Matter Experts
- Familiarity with AI-enabled marketing tools, automation platforms, and data-driven engagement strategies.
- Strong English written and verbal communication skills
- Experience supporting oncology and specialty product related events.
- Experience working across multiple countries in South America, Europe, Middle East and/or Asia understanding regional regulatory and operational differences.
- Advanced knowledge of Next Best Action tools, AI personalization platforms, and predictive analytics.
- Experience integrating webinar data into customer data platforms (CDPs), CRM dashboards, and omnichannel analytics frameworks.
