Function: Administration -EA
Reporting To: Director /Executive Director & Managing Director
Position Objective
We are looking for a EA /senior administrative leader who will own and drive end-to-end administration across all company locations. This role is a strategic business partner to leadership, responsible for cost optimization, employee welfare, SOP governance, ERP adoption, and providing high-level executive support to the MD & ED.
Key Responsibilities
Executive & Leadership Support
- Act as Executive Assistant to MD & ED, managing complex calendars, meetings, travel, and confidential communications
- Ensure seamless day-to-day administrative support enabling leadership to focus on strategic priorities
Stakeholder Management
- Serve as the primary liaison between leadership and internal/external stakeholders
- Coordinate with senior management, department heads, vendors, government authorities, clients, and consultants
Administration & Operations
- Lead multi-location administrative operations including:
- Facilities & infrastructure
- Security & safety
- Housekeeping & transport
- Office assets & utilities
- Ensure a safe, professional, and compliant work environment
Cost Optimization & Vendor Management
- Drive cost-reduction initiatives without compromising service quality
- Handle vendor negotiations, procurement, contracts, and renewals
- Monitor administrative budgets and analyze expenses for efficiency gains
Employee Engagement & Welfare
- Lead employee engagement programs, celebrations, and welfare initiatives
- Create a positive, inclusive workplace culture that enhances retention and productivity
Compliance, SOPs & ERP Systems
- Ensure strict adherence to company SOPs and policies
- Champion ERP system usage for administration, procurement, and reporting
- Maintain data accuracy, transparency, and MIS reporting
Talent Support (in collaboration with HR)
- Support retention of key talent through a supportive work environment
- Enable professional development through strong administrative frameworks
Event & Project Management
- Plan and execute:
- Corporate meetings
- Leadership workshops
- Townhalls & team-building events
- Large-scale celebrations
- Ensure alignment with company values and objectives
Qualifications & Experience
Essential Qualifications
- Bachelors degree in Business Administration / Management / related field
Experience
- 5 to 18+ years in EA & administrative management
- 5-7 years at AGM / GM / Senior Leadership level
- Prior experience in Real Estate / Infrastructure / Construction / Service Industry preferred
- Proven experience managing multi-location administrative operations
- Hands-on experience as Executive Assistant or senior support to MD/ED/C-suite
- Strong exposure to budgeting, cost optimization & vendor management
- Willingness to travel across corporate offices, site offices & sales offices

Technical Skills
- ERP Proficiency: Strong hands-on experience in ERP for admin, procurement & MIS
- Budgeting & Financial Acumen: Cost analysis, budget control, savings initiatives
- SOP Implementation: Designing, enforcing & optimizing SOPs
- Project & Event Management: End-to-end execution capability
- IT & Systems Knowledge: Understanding of office IT infrastructure & tools
