Executive Assistant (Remote | EST Core Hours)

Schedule: MondayFriday, 9:00 AM – 5:30 PM EST
Type: Full-time, Remote
Reports to: Senior Leadership (C-suite)

This is a high-trust, high-visibility role at the center of execution. You will function as both a strategic operator and a precision-focused executive partner (Executive Assistant)—ensuring senior leadership stays focused on the highest-impact priorities while the organization moves quickly, clearly, and consistently.

Responsibilities

Executive Support & Leadership Enablement

  • Serve as the primary right hand to senior leadership (CEO, CPO, CTO, COO) —anticipating needs, preparing materials, and removing friction from daily operations.
  • Manage leadership priorities and follow-through, ensuring critical initiatives don’t stall between meetings.
  • Draft and refine high-stakes communications (internal updates, executive notes, escalations, and decisions).

Meeting Management & Action-Item Ownership

  • Attend virtual meetings (daily) to capture decisions, translate discussion into clear action items, identify owners, and set deadlines.
  • Maintain a rigorous follow-up system: track deliverables, escalate blockers, and ensure commitments are completed on time.
  • Create concise meeting recaps that leadership can trust (what was decided, what changed, what’s next, and who owns it).

Cross-Functional Coordination (100+ Employee Environment)

  • Coordinate across teams to align schedules, handoffs, approvals, and execution timelines.
  • Drive operational cadence: recurring check-ins, project updates, leadership rhythms, and “no surprises” status reporting.
  • Support employee coordination needs as assigned (including leadership requests that require confidentiality, speed, and precision).

Operational Excellence & Special Projects

  • Build lightweight systems and documentation that increase speed and reduce confusion (templates, trackers, SOPs, dashboards).
  • Own special projects that require executive attention—moving them from ambiguity to clear execution.
  • Help leadership stay audit-ready: organized records, structured notes, and secure handling of key documentation.

Confidentiality & Discretion (Non-Negotiable)

  • Handle sensitive information (people matters, legal topics, strategic decisions, financial data) with extreme discretion.

  • Use impeccable judgment about what is shareable, when to escalate, and how to protect the company and leadership team.

Requirements

  • Native Englishproficiency (spoken and written); you produce clean, executive-level writing with speed and accuracy.
  • 4-year degreerequired (Master’s or advanced degree is a plus).
  • Demonstrated experience supporting senior leaders in a high-volume, fast-paced environment (startups, tech, professional services, or similar).
  • Strong operational judgment: you can prioritize under pressure, manage competing deadlines, and maintain accuracy without supervision.
  • Exceptional organization and follow-through: you don’t just track tasks—you close loops.
  • High comfort with modern remote tools (Zoom/Meet, calendars, docs, project tracking platforms, chat tools, spreadsheets).
  • Professional maturity and reliability: consistent availability during 9:00 AM – 5:30 PM EST, Monday–Friday.

Preferred Skills (Highly Valued)

Strong technical background in software/application development (you can follow engineering discussions, understand workflows, and communicate clearly with technical teams).

Legal experience/knowledge (contracts, compliance workflows, corporate governance, or legal operations familiarity is a plus).

Experience in roles that blend EA + Ops + Chief of Staff responsibilities (you’ve operated as a “force multiplier,” not only an administrator).
