Job Description

Job Summary:
We are seeking a highly organized and proactive Executive Assistant & Office Manager to support our CEO and ensure smooth day-to-day administrative operations of the office. The ideal candidate will be experienced in executive-level support, administrative coordination, and office management, with advanced Excel skills and the ability to handle and analyze multiple reports (5+) simultaneously.
Key Responsibilities:
• Provide high-level administrative support to the CEO including calendar management, meeting coordination, travel arrangements, and confidential correspondence.
• Manage the daily operations of the office, ensuring a well-organized, efficient, and professional environment.
• Create, maintain, and analyze multiple Excel reports (5+ simultaneously) related to business performance, finance, HR, and operations.
• Develop and implement administrative systems, procedures, and policies to improve workflow and efficiency.
• Prepare professional presentations, agendas, reports, and meeting minutes.
• Monitor office supplies and coordinate with vendors and service providers.
• Act as the primary point of contact between the CEO and internal/external stakeholders.
• Assist with HR and finance documentation, such as onboarding paperwork, expense reports, and invoicing.
• Organize company events, team meetings, and other administrative functions as required.
Requirements:
• Proven experience (minimum 3-5 years) in executive assistance and office administration roles.
• Excellent proficiency in Microsoft Excel, including pivot tables, VLOOKUP, formulas, dashboards, and data analysis.

• Strong multitasking and time-management skills with the ability to handle multiple priorities and meet deadlines.
• High level of discretion, professionalism, and confidentiality.
• Exceptional written and verbal communication skills.
• Strong organizational and problem-solving abilities.
• Bachelor’s degree in Business Administration or related field preferred.
Preferred:
• Experience in a fast-paced corporate environment.
• Familiarity with project management tools and cloud-based collaboration platforms.
