Job Description
Seeking a detail-oriented and proactive Office Administrator to join our team
The Office Administrator will play a key role in ensuring the smooth and efficient operation of daily office activities, supporting project managers, clients, and the overall team. Requires strong organizational skills, multitasking, and the ability to communicate effectively.
Key Responsibilities:
Administrative Support:
Provide admin support to the management team and project managers.
Prepare and maintain office documentation, reports, and files.
Handle communication
Project Coordination:
Assist in coordinating project timelines, deliveries, and client communication.
Monitor project progress and ensure that deadlines are met.
Liaise between contractors, vendors, and clients to ensure smooth communication.
Prepare and maintain project-related documents such as contracts, change orders, and progress reports.
Maintain office supplies and ensure that the workplace is organized and clean.
Manage filing systems, both digital and physical, to ensure easy retrieval of documents.
Financial and Billing Support:
Assist with invoicing, purchase orders, and supplier payments.
Maintain accurate financial records and assist with month-end reconciliations.
Liaise with clients and suppliers regarding billing inquiries.
Client & Vendor Relations:
Maintain professional relationships with clients, contractors, and suppliers.
Handle customer inquiries, complaints, and provide updates on project progress.
General Office Duties:
Ensure all incoming and outgoing mail is processed efficiently.
Manage and organize company documentation, including permits, contracts & plans
Assist with recruitment, onboarding, and employee management activities as required.

Proven experience as an office administrator or in a similar administrative role, preferably in the construction or fitout industry.
Strong organizational and multitasking skills with excellent attention to detail.
Ability to work well under pressure and meet deadlines.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and project management software.
Excellent communication skills, both written and verbal.
Strong problem-solving abilities and a proactive approach
Familiarity with construction or fitout processes and terminology is a plus.
A proactive, flexible, and hands-on approach to tasks.
Education & Experience:
Graduate
Previous experience in office administration within the construction, fitout, or project management sector is preferred.
