Job Description

We are seeking a professional, organized, and proactive F&B Administrator Kitchen to support the Executive Chef and the culinary leadership team in the day-to-day administration and coordination of kitchen operations. This role provides essential administrative support to ensure smooth communication, compliance, and efficiency across all kitchen outlets.

Key Responsibilities
  • Provide administrative support to the Executive Chef and kitchen management team
  • Support day-to-day kitchen administration and operational coordination
  • Manage calendars, correspondence, meeting scheduling, and record-keeping for the culinary team
  • Maintain and update HACCP documentation, food safety records, and audit files across kitchen outlets
  • Assist with menu documentation, recipe files, allergen matrices, and SOP updates
  • Handle SAP-related tasks including PRs, POs, stock-related documentation, invoices, and reimbursements
  • Liaise with HR, Finance, Procurement, and Government Relations on kitchen-related matters
  • Support recruitment administration for kitchen colleagues (interview scheduling, documentation, onboarding coordination)
  • Prepare reports such as attendance, leave tracking, training records, and payroll support
  • Coordinate supplier appointments, tastings, and kitchen-related meetings
  • Assist with printing requests, kitchen notice boards, flow charts, and organizational charts
  • Maintain a high level of confidentiality, accuracy, and professionalism at all times

Requirements
  • Previous administrative experience in an F&B, culinary, or hospitality environment

    Strong organizational and multitasking skills with attention to detail
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook); SAP experience is an advantage
  • Familiarity with HACCP, food safety, and audit processes is highly desirable
  • Ability to handle confidential information with discretion
  • Fluency in English; additional languages are an advantage
