Job Overview:
The Office Admin plays a key role in ensuring the smooth operation of the office by providing administrative support to all departments, managing office resources, and facilitating effective communication within the company. The ideal candidate is organized, efficient, and capable of handling a wide range of tasks with a positive attitude.
Key Responsibilities:
- Office Management:
- Oversee the day-to-day operations of the office, ensuring that it runs efficiently and effectively.
- Maintain office supplies inventory by checking stock levels, anticipating needs, placing orders, and verifying receipts.
- Coordinate and manage office equipment, including maintenance and troubleshooting.
- Organize and maintain physical and digital filing systems for important documents and records.
- Administrative Support:
- Provide administrative support to various departments and senior management, including scheduling meetings, organizing calendars, and preparing documents.
- Handle incoming calls, emails, and correspondence, ensuring that messages are forwarded to the appropriate individuals.
- Assist in the preparation of reports, presentations, and other business-related documents.
- Manage travel arrangements and accommodations for staff and visitors as needed.
- Reception Duties:
- Greet visitors and direct them to the appropriate staff members.
- Manage the reception area to ensure a welcoming environment for visitors and staff.
- Handle incoming and outgoing mail, packages, and deliveries.
- Event Coordination:
- Plan and coordinate company events, meetings, and conferences, including booking venues, arranging catering, and managing RSVPs.
- Assist in organizing team-building activities and other employee engagement initiatives.
- Facilities Management:

- Liaise with building management and external vendors for office repairs, maintenance, and cleaning services.
- Ensure that the office environment is safe, clean, and well-maintained at all times.
- Manage office space allocation and seating arrangements for employees.
- Compliance and Policy Management:
- Ensure compliance with company policies and procedures in all office-related activities.
- Assist in updating and implementing office policies and procedures as needed.
- Financial Administration:
- Assist with basic bookkeeping tasks, such as processing invoices, tracking expenses, and reconciling accounts.
- Handle petty cash and ensure that all financial transactions are properly recorded and reported.
