Job Description

Job responsibility

  • Manage the CEOs calendar, appointments, and meetings; prioritise and schedule appropriately.
  • Arrange domestic and international travel: bookings, itineraries, logistics, visas, accommodations.
  • Prepare meeting agendas, take minutes, follow up on action items, and ensure deadlines are met.
  • Draft, edit, review correspondence,presentations, reports and communication materials for internal and external audiences.
  • Act as gatekeeper and first point of contact for internal/external stakeholders for CEO’s office: triage requests,filter communications, screen calls/emails.
  • Maintain confidentiality and exercise discretion in handling sensitive information.
  • Support coordination among departments relevant to the CEO’s work: follow up on projects, maintain trackers, update CEO on key initiatives.
  • Organise Board meetings or executive leadership meetings coordinate logistics, distribute materials.
  • Monitor and manage CEO’s expenses,reimbursements, budgeted items related to their office.
  • Anticipate CEO’s priorities and needs; take initiative to resolve issues before they become problems.
  • May manage or coordinate support staff or external service providers (e.g. travel agents, admin staff).

Qualifications & Skills

  • Bachelor’s degree (in business, communications, management or related field) preferred.
  • Excellent organisational and timemanagement skills; ability to handle multiple priorities with minimal supervision.
  • Strong written and verbal communication skills.
  • Proficiency with MS Office (Outlook, Word, Excel, PowerPoint), virtual meeting tools, calendar tools. Familiarity with project management or tracking tools.
  • Strong interpersonal skills; ability to liaise with various stakeholders inside and outside the organization.
