The service covers full registrar and distributor support models as well as local client servicing and is targeted towards investment managers, distributors and investors globally with support across different time zones.
The Opportunity:
To lead and manage a vertical of Securities Services Transfer Agency operations team in Kolkata:
- Management of operational processes to meet or exceed service level requirements
- Accountable for financial planning to achieve cost targets set across Transfer Agency Operations.
- Accountable for continuous process improvement of existing processes and migration of new functions from the country office locations.
- Drive key employee initiatives to promote and position Securities Services the employer of choice.
Manage a team of staff within the Transfer Agency team, providing service across various functions within GDTA Operations, namely, Deal Processing, Investor Registration and Maintenance, Corporate Action, Reconciliations, Cash processing and Settlements to Transfer Agency clients.The service covers all types of investment vehicles i.e. unit trusts, life and pension funds, investment trusts, hedged funds, Private assets and OEICs. The job holder will have responsibility for working closely with their colleagues in the other sites to ensure that we have the requisite level of oversight and that the staff in these sites receive the requisite support to allow us to meet our client deliverables. The role will demand full cooperation and interaction with Country office investor services/front office teams, as well as client management and business development. This involves ensuring that all deliverables agreed in client service level documents are delivered against plan.
What you’ll do:
- This role operates in a highly time critical environment and is required to be fully involved in oversight of activities relating to transfer agency functions with focus on below listed responsibility areas:
- Principal Accountabilities:Key activities and Decision making area
Service Delivery & Risk Management
- Maintain and enhance the reputation of Securities Services for service delivery through effective and continual inter-action with key clients, technical input and feedback, deployment and co-ordination of all staff involved in the delivery of client service
- Ensure that all services provided to clients are appropriately positioned and executed and follow up with operational departments where the service levels do not meet expectations
- Proactive risk management - identify and prioritize MSIIs (Management Self-Identified issues, Top and Emerging Risk) for the department and ensure remedial action taken to address areas of risk within the operation.
- Mitigate risk through efficient usage of Technology i.e. strategic solutions, review technology developments, identify areas of risk and ensure appropriate focus on mitigating such areas.
- Risk governance - ensure procedures, operational guides and other internal supporting documentation are up to date.
- Ownership for capacity reporting including monthly reporting on progress to AOP headcount, WFP and FRP.
- Managing department recruitment process, shortlisting candidates for interview and making recommendations on hire decisions.
- Management planning - ensure robust MIS in place to allow for review of departmental performance, trend analysis, knowledge sharing etc.
- People management - build action plans to reduce key man risk, through targeted upskilling and cross training programs.
- Training requirements - identify training needs and work closely with Business Training team to ensure training is delivered to all staff levels.
- Timely reporting of Incidents/Errors, GEMs, CSIRT, escalation to clients, follow up and timely closure of preventative and corrective actions.
Customers / Stakeholders
- Supporting Transfer Agency operations & Work closely with Ops Managers to analyze trends in quality and TAT, and share key themes to achieve zero errors
- Closely engage with Client, Non-Financial Risk Operations (1st line of defense) & HSBC CASS oversight teams, Regulatory compliance teams (2nd line of defense) to address queries and manage operational requirements
- Liaise with the team to ensure 100% success rate in adherence to KPIs/SLAs by ensuring deadlines are met, SLDs adhered to, and procedures followed.
- Prompt and accurate reporting; Providing MI to Senior Management on Departmental performance.
- Monitor and report on status of Business Risk reviews.
- Coordinating with HR to close out recruitment gaps.
- Interacting within GDTA teams and interdepartmental teams outside of GDTA e.g. Custody, A&V, and Client Services team, FCC, Tax, Product, NFR, Regulatory Compliance, CASS oversight teams and other internal stakeholders.
- Identifying training gaps with the transaction processing team and across the department, where applicable.
- Ensure effective, timely and relevant escalation of issues to direct report.
Leadership Framework

- Will be responsible for managing the team in Kolkata and other locations, as applicable, who are responsible for the Transfer Agency deliverables as agreed between City and Country offices

Operational Effectiveness & Control
- Ensure procedures, client Operations guides and other internal supporting documentation is up to date.
- Ensure that business practices and processes are regularly reviewed for adherence to procedures and FIMs.
- Ensure robust MIS is in place to allow for review of departmental performance, trend analysis and optimum allocation of resources.
- Use MIS to ensure that service levels are being maintained and any shortfalls or issues are being escalated and resolved to ensure that client’s requirements are being met, errors are reduced and knowledge is shared.
- Understand, follow and demonstrate compliance with all relevant internal and external rules, regulations and procedures that apply to the conduct of the business in which you are involved, specifically Internal Controls and any Compliance policy including, inter alia, the Group Compliance policy.
- Implement and monitor internal controls to ensure risks mitigation
- Ensure implementation of audit recommendations within stipulated timelines
- Maintain and operate under standards stipulated by the Group and ensure that there are no regulatory and compliance breaches
- Implement a process to monitor and analyze errors against the inherent risks in the process and implement suitable controls to mitigate such risks

- A graduate/ post-graduate diploma or degree in Accounting, Finance and Banking is a must have. Higher qualification not a bar provided aspirations commensurate with the position.
Professional Skills & Experience (Minimum Qualification and Skills Required)
- Knowledge of securities industry essential
- At least 5-7 years of Prior experience in Transfer Agency & Registrar or Fund services operations is must.
- Working knowledge and prior experience/understanding of regulations such as CASS (Client Money), IMR (Investor Money regulations, GDPR, FATCA and CRS, CSSF.
- Demonstration of strong knowledge of TA Operational Transaction Activity for the UK/Europe/Asia industry specifically Luxemburg Transfer Agency is desirable.
- If internal candidate- Should have Performance Rating of at least “Good” in last 2 Years.
- If internal candidate- Should have completed 12 Months in current role post probation period
- Strong computer skills in Excel and Microsoft Word
