Job Description


Onboarding Specialist is a vital member of the HR team, responsible for delivering a seamless, engaging, and inclusive onboarding experience for new hires. This role ensures that employees feel welcomed, informed, and supported from the moment they accept their offer through their initial weeks at IBM.
The candidate will have strong Japanese language proficiency (JLPT N2), a background in HR operations, and a passion for creating positive employee experiences. They will coordinate cross-functional teams, manage onboarding logistics, and continuously improve onboarding processes to align with company values and operational excellence.

Key Responsibilities include:
Manage end-to-end onboarding processes including pre-boarding papaerwork, orientation, and post-onboarding follow-ups.
Act as the primary point of contact for new hires, providing guidance and support throughout their onboarding journey.
Conduct orientation sessions that reflect the company’s mission, values, and culture.
Collaborate with internal teams (IT, Facilities, Payroll, etc.) to ensure Day One readiness.
Ensure compliance with IBM HR policies and laws.
Continuously improve onboarding documentation, workflows, and digital tools.
Track and analyze onboarding metrics and feedback to enhance the employee experience.
Required Skills:
JLPT N2 certification with strong verbal and written proficiency in Japanese.
2–3 years of experience in HR operations, preferably in a tech or multinational environment.
Understanding of Japanese business culture and etiquette.
Growth mindset with excellent analytical and problem-solving skills.
Proficiency in Microsoft Office Suite, especially Excel.
Familiarity with HRIS platforms.
Ability to manage multiple priorities under pressure with professionalism and attention to detail.

  • Language Proficiency:

    • Japanese-Language Proficiency Test (JLPT) N2 level required.
    • Strong verbal and written communication skills in Japanese.
    • Understanding of Japanese business culture and etiquette.
  • HR Operations Experience:

    • 2–3 years of hands-on experience in HR operational services.

  • Core Competencies:

    • Strong working knowledge of Microsoft Office Suite, especially Excel (e.g., formulas, pivot tables).
    • Comfortable with digital collaboration tools and HR platforms.
