Position Overview
We are seeking a highly motivated and versatile Administrative and Marketing Assistant to join our team. This role will be responsible for a blend of administrative tasks, systems improvement initiatives, and supporting our marketing efforts. The ideal candidate is organized, detail-oriented, and proactive, with a passion for streamlining processes and contributing to the success of the marketing team.
Key Responsibilities
Administrative Support:
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Create Presentations based on Company Branding Guidelines
  • Handle incoming calls and emails, directing inquiries to appropriate team members.
  • Prepare and distribute correspondence, memos, and reports.
  • Maintain organized filing systems, both physical and digital.
  • Assist with data entry and record keeping as needed.
Systems Improvement
  • Ensure streamlining existing systems and ensure Templates are created where possible
  • Identify opportunities to streamline administrative processes and implement solutions.
  • Collaborate with team members to optimize systems and workflows.
  • Research and recommend software or tools to enhance productivity and efficiency.
  • Assist in the documentation and training of staff on updated procedures.
Marketing Support
  • Manage the CRM for the company
  • Assist in the execution of marketing campaigns across various channels, including social media, email, and digital advertising.
  • Contribute to content creation efforts, including writing copy, creating graphics, and formatting materials.
  • Assist in monitoring and analyzing marketing metrics and KPIs.
  • Provide support in organizing events, webinars, and other promotional activities.
  • Stay informed about industry trends and competitor activities to support marketing strategy development.
Qualifications
  • Previous experience in administrative support or office management - minimum 5 years.
  • Strong organizational skills with the ability to multitask and prioritize.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and other relevant software.

  • Basic understanding of marketing principles and practices.
  • Ability to adapt quickly to new technologies and systems.
  • Bachelors degree in Business Administration, Marketing, Computer Science or related field preferred.
