Job Description
The Assistant Manager Client Servicing will manage client relationships and ensure seamless planning and execution of events, activations, and experiential projects. The role requires strong coordination skills, attention to detail, and the ability to manage multiple stakeholders while upholding quality, timelines, and brand expectations.
This position is client-facing and execution-heavy, acting as a critical bridge between clients, internal teams, and external partners.
Key Roles & Responsibilities
- Client Servicing & Account Management
- Act as the primary point of contact for day-to-day client communication under the guidance of the Event Manager.
- Understand client briefs, objectives, and expectations and translate them into clear internal and vendor briefs.
- Manage routine client interactions, including calls, emails, MOMs, and status updates.
- Support in building long-term client relationships through consistent service delivery and responsiveness.
- Project Planning & Coordination
- Assist in developing event plans, timelines, task trackers, and execution schedules.
- Coordinate with internal teams (Creative, Digital, Production, Finance, Strategy) to ensure timely deliverables.
- Track project milestones, dependencies, and approvals to ensure smooth progress.
- Maintain detailed documentation, including scopes of work, estimates, approvals, and execution checklists.
- Vendor & Partner Coordination
- Coordinate with vendors and partners for quotations, timelines, technical requirements, and execution readiness.
- Support vendor onboarding, briefing, and alignment as per project requirements.
- Track vendor deliverables and flag risks or gaps to the Event Manager proactively.
- Assist in managing logistics such as travel, accommodation, permissions, and on-ground requirements.
- Execution & On-Ground Support
- Be actively involved in on-ground event execution including setup, rehearsals, show flow, and breakdown.
- Ensure brand guidelines, client expectations, and quality standards are adhered to on-ground.
- Handle real-time coordination and troubleshooting during events, escalating issues when required.
- Support guest management, artist coordination, and stakeholder handling during events.
- Commercials & Documentation Support
- Assist in preparing cost estimates, budgets, and vendor comparisons.
- Track POs, invoices, and billing milestones in coordination with the finance team.
- Support post-event documentation, including closure reports, photographs, and performance summaries.
- New Business & Pitch Support
- New business/client acquisition, support the Business Development team during pitch preparation and presentations.
- Assist in research, case study compilation, and competitor benchmarking.
- Help prepare pitch decks, experience flows, and indicative budgets.
- Participate in internal pitch reviews and post-pitch learnings.
