Job Title Executive - Facility & Admin Services (India Supply Unit)
What will you be doingResponsibilities
- Facility Management:
- Overseeing all aspects of building maintenance, including preventative maintenance schedules, repairs, renovations, and upgrades.
- Responsible for Plant Maintenance, Facility Services (ACMV, Fire, IBMS, MHE) & Utility services like Electricity, Pneumatic, Water (WTP, STP, ETP) and Gas
- Responsible for regulatory compliance in above areas like TNPCB, PESO, CEIG, FIRE.
- Managing contracts with external vendors for Transport / Cabs, Security, Canteen & Pantry Management, Security, Housekeeping, Landscape maintenance, Pest control and other Facility services.
- Also, taking care of Access control / Visitor management, CCTV monitoring, Laundry Services, Local tax payments, Uniforms, Petty cash
- Monitoring facility usage and optimizing space allocation.
- Ensuring compliance with building codes, safety regulations, and environmental standards.
- Responding to emergencies and coordinating necessary repairs.
- Administrative Services:
- Managing office supplies and inventory
- Coordinating employee onboarding and relocation processes
- Overseeing office operations, including mailroom, reception, and IT support
- Managing company vehicle fleet and transportation arrangements
- Implementing and maintaining administrative policies and procedures
- Educational Qualification Engineering, M.B.A., or any relevant degree
- Minimum of 3 to 5 years of experience in Facility Management & Administration (preferably from factory background)
- Strong leadership and organizational skills
- Proven experience in facility management and administrative operations
- Excellent communication and interpersonal skills
- Strong knowledge of laws, regulations, and industry standards related to facility management.
- Knowledge of building maintenance practices and safety regulations
- Define and document standard operating procedures (SOPs) and processes for all aspects of facility management operations.
- Establish a Management Information System (MIS) to track activities on a daily, weekly, and monthly basis.
- Budget management and cost control expertise
- Proficiency in contract negotiation
- Ability to manage multiple projects simultaneously
