- Manage document control activities for lease agreements, license agreements, mall promotions, media documents, approvals, notices, and related correspondence
- Handle document numbering, labeling, scanning, filing, storage, retrieval, archiving, and controlled access in both electronic and physical formats
- Ensure lease documents and supporting records are scanned accurately, uploaded to SharePoint, and maintained in organized physical tenant folders
- Maintain full control over the issuance, return, and movement of physical files across Legal, Leasing, lease administration, and other internal teams
- Operate a reliable tracking system for document movement, internal approvals, courier handling, acknowledgments, and pending document actions
- Support timely execution, internal signing, and proper circulation of lease and related documents in electronic and physical formats
- Ensure team members follow the approved SharePoint folder structure to improve document access, consistency, and retrieval speed
- Monitor the validity, availability, and accessibility of trade licenses, powers of attorney, and other key commercial property documents
- Conduct regular document audits to check completeness, accuracy, storage quality, naming standards, and compliance with department procedures
- Protect critical documents by following access control rules and ensuring authorized stakeholders receive documents only through approved channels
- Minimum high school qualification, administration qualification, or related office management training
- 2 to 3 years of experience in document control, records management, lease administration support, office administration, or file management
- Strong document management ability with excellent attention to detail, accuracy, and confidentiality
- Good understanding of filing systems, document tracking, scanning, archiving, physical file movement, and electronic records storage
- Experience using SharePoint or similar document management systems is an advantage
- Proficiency in Microsoft Office, especially Word and Excel, for tracking, reporting, lists, and administrative documentation
- Strong organizational, administrative, planning, and follow-up skills with the ability to manage multiple document requests
- Good communication and interpersonal skills for coordinating with Legal, Leasing, administration teams, couriers, and internal stakeholders
