Job Description

We are seeking a proactive and detail-oriented Office Manager to provide comprehensive business and administrative support to our MENA operations as well as supporting the Group Global Business Development (GBBD) function based in Germany. This role is pivotal in ensuring the smooth functioning of our office, supporting financial processes, and facilitating effective communication across teams.

The candidate should already be based in UAE and with experience of the job functions outlined below.

Job FunctionsBusiness Support:

Serve as the primary liaison between the Head of Business Development, MENA, and internal teams including GBBD Business Support.

Manage calendars, schedule meetings, and coordinate travel arrangements.

Organize and support internal and external meetings, including preparing agendas and taking minutes.

Assist in the preparation of presentations and reports for business development activities.

Finance Administration:

Process expense reports and ensure timely reimbursement.

Maintain accurate records of financial transactions and support budgeting processes.

Coordinate with the finance department to ensure compliance with financial policies and procedures.

Office Management:

Oversee daily office operations, including supply management and equipment maintenance.

Implement and maintain office procedures to enhance efficiency and reduce costs.

Requirements

Strong organizational and multitasking skills.

Excellent communication and interpersonal abilities.

High level of discretion and professionalism.

Business fluency in English; additional languages such as Arabic/ German are a plus.

Qualifications

Proven experience in office administration and financial support roles.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Personal Characteristics

Experience working in multicultural environments.

Familiarity with CRM systems and financial software.

Ability to adapt to dynamic business needs and priorities.

Overseas Employee Health & Safety Compliance

The job holder will be expected to comply with any reasonable operational instruction or procedures relating to Company policies, reporting, and controls.

It also places a duty on employees to cooperate with their employer so far as is necessary to enable their duties to be complied with including the appropriate use of personal protective equipment (PPE).

Failure to comply with this duty may result in the Company invoking the disciplinary procedure.
