Job Description


Purpose
The Student Records Administrator facilitates processes underpinning the student journey at Middlesex University Dubai and the organisation of data on students and programmes which contribute to the University’s capacity to effectively manage its activities.
The position reports to Middlesex University Dubai’s Assistant Manager of Dubai Academic Registry and Campus Central and supports the University’s strategic growth by facilitating its continuous improvement efforts in a systematic and comprehensive manner.
The position is based at Middlesex University Dubai, United Arab Emirates.
Principal Duties and Accountability
  • Ensure student information on MISIS is accurate and up to date including programmes, module registrations and the general student records change management.
  • Using MISIS reporting, and other methods, to establish and maintain data quality assurance processes.
  • To monitor student data for accuracy and completeness and to take pro-active action to implement data improvements, with a full understanding of the wider impact of any data changes.
  • Ensure module, programme and subject information on MISIS is up to date and accurate.
  • To provide curriculum data reports and to undertake curriculum data validation and monitoring of curriculum data quality.
  • Facilitate the implementation of deferral and extenuating circumstances process, maintaining MISIS records, offering regulatory advice and guidance to staff and students, and liaising with assessment boards at the home campus.
  • Facilitate the implementation and development of student information and administration systems to meet the requirements of programme support, including third-party software packages that integrate or interact with the system.
  • Coordinate collaborative activities between professional services and programme teams so that all aspects of Learning and Teaching role descriptors are supported.
  • Be responsible for the accuracy, integrity and quality of student record data, to enable regulatory data return, and to produce management information data to support strategic planning and operational delivery across the University.
  • Coordinate training on an ongoing basis to relevant members of staff, and specific stakeholders.
  • Ensure compliance with relevant statutory and regulatory requirements such as the submission of data to MoHESR, Dubai’s Knowledge and Human Development Authority (KHDA), the UK’s OfS, HESA, and other accrediting bodies such as Professional, Statutory and Regulatory Bodies (PSRBs)
Administrative duties
  • Working with the Manager and Assistant Manager(s) of Dubai Academic Registry and Campus Central, ensure that robust metrics and key performance indicators are devised, developed and used effectively for the Academic Registry.
  • Facilitate department-level planning for regular and ad hoc processes.
  • Recommend the development of new services or processes as required to support the changing requirements of the Dubai campus; enable the implementation of ways of improving efficiency and effectiveness of the Academic Registry functions
  • Undertake continued professional development and contribute to new staff induction, orientation, and training sessions.
  • Promote equality of opportunity and inclusive practice in all aspects of work undertaken
  • Undertake any other duties commensurate with the grade of the post as requested by University management.

Qualifications Required
  • Relevant degree qualification
  • Related and appropriate practical experience in a University environment

Disposition
The post holder will need to be calm and effective in dealing with staff and students of the University and efficient in dealing with external parties.

Knowledge, Skills and Experience
Essential:
  • A recognised undergraduate qualification in a relevant discipline
  • High level of writing skills and presentation skills for formal reporting documentation
  • Advanced knowledge of spreadsheets, databases, presentation software, and statistical programs
  • Excellent teamwork and human relations skills
  • Strong administrative skills with an emphasis on attention to detail, process efficiency and a thoroughness in completing the work
  • Able to work with confidential material with thorough discretion
  • Proven ability in successful project management in a deadline driven environment, through multi-tasking, and prioritising
Desirable:
  • Knowledge of/experience with application of/ or training in student record management systems
  • Previous experience in a University or College environment
