Job Description
The Project & Operations Admin Manager is responsible for end-to-end ownership of all administrative processes, documentation, and operational controls across the full lifecycle of exclusive real estate projects from pre-boarding and pre-launch through sales execution, SPA completion, and post-launch handover stages.
This role leads and manages the Project Admin team, ensures process discipline, documentation accuracy, regulatory compliance, and seamless coordination between Sales, Finance, CRM, Compliance, Developers, and external agencies.
The position is critical in safeguarding operational integrity, ensuring real-time project visibility, and enabling senior management to make informed decisions.
- Own and oversee all project administration activities across the full project lifecycle:
- Project pre-boarding
- Pre-launch documentation readiness
- Launch-phase execution
Post-launch monitoring and handover coordination
- Ensure accurate issuance, collection, verification, and archiving of all project documents including:
- EOIs (Expression of Interest)
- Reservation Forms (RFs)
- Sales Offers
- SPAs (Sales & Purchase Agreements)
- Ensure real-time and accurate updating of project data in CRM systems and internal operational trackers.
- Lead, manage, and mentor the Project Admin team to ensure consistent quality, responsiveness, and process adherence.
- Ensure team awareness and compliance with DLD, RERA, and RAK RERA requirements relevant to project registration, Oqood, title deeds, and SPA execution
Key Performance Indicators (KPIs)
- Accuracy and completeness of project documentation across all stages
- Timeliness of CRM and operational updates
- Error-free progression from EOI ? RF ? SPA stages
- Operational readiness and execution during project launches
- Internal stakeholder satisfaction (Sales, Finance, Compliance, COO)

Required
- Bachelor's degree in Business Administration, Operations, Real Estate, or related field.
- Minimum 47 years experience in project administration or operations within real estate brokerage or developer environments.
- Proven experience managing end-to-end project documentation and admin teams.
- Strong working knowledge of CRM systems (preferably Salesforce) and shared spreadsheet operational trackers.
- Solid understanding of UAE real estate documentation and regulatory processes.
- Exposure to high-volume project launches and multi-phase developments.
