Job SummaryWe are seeking a proactive and organized Office Executive to support our administrative and operational functions at our Gurgaon office. The ideal candidate will have 2 5 years of relevant experience in office administration, coordination, or executive support, preferably in the construction, manufacturing, or related industries. This role requires excellent communication, multitasking abilities, and proficiency in managing day to day office tasks to ensure smooth business operations.Key Responsibilities
- Administrative Support: Manage office operations, including maintaining records, filing systems, and office supplies inventory.
- Coordination: Act as a liaison between departments (e.g., sales, production, and logistics) to facilitate communication and project execution.
- Documentation: Prepare and maintain reports, quotations, invoices, and purchase orders, ensuring accuracy and timely submission.
- Client Interaction: Handle client inquiries via phone, email, or in person, ensuring professional and prompt responses.
- Data Management: Update and manage databases, including client records, vendor details, and project tracking.
- Scheduling: Organize meetings, appointments, and travel arrangements for senior management.
- Compliance: Assist in maintaining compliance with company policies and statutory requirements, including GST documentation and other records.
- Support Sales Team: Coordinate with the sales team to prepare proposals, follow up on leads, and track orders.
- Office Maintenance: Ensure a clean, organized, and efficient office environment, coordinating with vendors for repairs or services as needed.
Required Qualifications
- Experience: 2 5 years of experience as an Office Executive, Administrative Assistant, or similar role, preferably in construction, manufacturing, or infrastructure sectors.
- Education: Bachelor s degree or diploma in Business Administration, Commerce, or a related field.

- Proficiency in MS Office (Word, Excel, PowerPoint) and basic knowledge of ERP/CRM systems.
- Strong communication skills (written and verbal) in English and Hindi.
- Excellent organizational and time management skills.
- Ability to multitask and work under pressure in a fast paced environment.
- Attention to detail and problem solving skills.
Attributes: Professional demeanor, team player, and ability to handle confidential information with discretion.Preferred: Familiarity with GST documentation, invoicing, or construction industry terminology.
