Job Description

Job Accountabilities

Assist Contracts Manager in fulfilment of sourcing requirements of contracts using effective and consistent sourcing processes and methodologies and in alignment to defined category strategies. Actively participate during understanding requirements, negotiation with vendors, execution of orders, post award contract management, supplier relationship management.

Job Accountabilities (duties and responsibilities)

  1. Assist the sourcing of critical contracts in alignment with Category Manager &Contracts Manager guidance
  2. Develop demand profile
  3. Specify sourcing events
  4. Monitor technical & price evaluation
  5. Help Contract Engineer in preparing for negotiation & selection of suppliers for major items
  6. Ensure & review PO generation
  7. Understand requirements for services procurement for the critical items and provide inputs to Contracts Manager in defining overall procurement strategy
  8. Align on timelines and spend planning for the assigned items
  9. Shortlist initial supplier options and time / spend estimates
  10. Oversee preparation of contracts plan
  11. Execute Orders & Coordinate Expediting
  12. Receive purchase requisitions / expiring contracts list
  13. Prepare & release Request for Quotation/ Enquiry to the short-listed vendors
  14. Study offers from vendors, and prepare a comparative statement to aid in selection of vendors, optimization of price and other commercial terms
  15. Develop Internal Cost Estimates
  16. Participate in Commercial Negotiation Meetings
  17. Negotiate & finalize price for items covered under this role#s limits
  18. Set up Agreements and SLAs with the finalized vendorsPrepare & release the final PO
  19. Implement escalation process
  20. Maintain co-ordination with inbound logistics and all commercial departments
  21. Monitor post-award project contract management
  22. Enforce supplier feedback mechanism for improvement
  23. Review contractor feedback, gather feedback from expediting team, P&C, supplier
  24. Manage Change Order Process
  25. Participate in routine planning meetings
  26. Coordinate supplier information / confirmation on the changes
  27. Additionally assess and monitor emergency situations and related procurement
  28. Manage Supplier Relationships at working Level
  29. Manage positive vendor relationships at the working level

  30. Engage with vendors on a regular basis to share organizational requirements and understand their constraints
  31. Gather feedback from field execution team and supplier
  32. Review the feedback and send reports to PCM as well as the respective Contracts Lead
  33. Ensure contractor performance as per end-user needs and identify improvements and suggest the same to Contract Manager
  34. Uphold ethical values in procurement dealings and operations in line with the corporate values
  35. Use technology extensively to increase efficiency & control costs
  36. Use the SAP system optimally to drive efficiency and cost optimization
  37. Focus on usage of technological tools like e#auction and reverse auction to improve efficiency, and improve transparency
  38. Guidance to Contract Engineer in Critical Contracts

Skill & Competencies

  • Experience in Construction / Operation / Maintenance in Manufacturing / Exploration sites is an added advantage

Education Required

6 to 10 years of experience in the related field
