Career Services Operations Associate

Career Success team.


ABOUT THE ROLE
As a Career Services Operations Associate you will support our Career Success team in
delivering outstanding coaching and career programming to students and alumni. This role is
ideal for someone who thrives in a fast-paced, detail-oriented environment and enjoys building
and managing systems that help teams work smarter and scale their impact.
You will work closely with Career Success Coaches to keep systems, processes, and data
running smoothly behind the scenes. Your primary focus will be on managing internal tools,
maintaining accurate data, supporting reporting needs, and coordinating workflows that enable
the team to deliver high-impact programming and coaching. While student interaction may occur
occasionally, the core of your work will be ensuring that the backend
infrastructurecommunications, scheduling, data tracking, and systems administrationruns
efficiently and effectively to support both in-program students and alumni.
This role is remote and reports to the Senior Manager of Academics and Learner Success.
RESPONSIBILITIES

Own and execute all communication workflows for in-program students and job-seeking
alumni, including deploying all reminders, collecting surveys, and tracking
missing/incomplete deliverables
Maintain and audit data across multiple systems, including spreadsheets and our career
services platform Prentus, ensuring all student and alumni data is complete and up to date
Create, maintain, and optimize reports to track key metrics (e.g. student engagement, job
placement outcomes, deliverable completion)
Support Career Success programming logistics such as event coordination, alumni panels,
and internal scheduling
Manage accommodation requests (e.g. sign language interpreters) for student-facing
sessions
Provide operational support to coaches, including preparing reports, managing tech tools
and handling special projects
Deliver structured, rubric-based feedback on resumes and LinkedIn profiles
Coordinate with internal teams to support cross-functional initiatives involving Career
Success


QUALIFICATIONS
Required:
24 years of experience in an operations, administrative, or program support role
Advanced proficiency in Google Sheets and Excel, including pivot tables, conditional
formatting, data validation, and VLOOKUP or INDEX/MATCH functions
Experience creating and maintaining dashboards or reports to track program data and
performance metrics

Strong organizational skills and meticulous attention to detail
Ability to work independently, prioritize multiple tasks, and manage competing deadlines
Excellent communication skills, especially written, with experience working in tools like
Slack
Customer-service mindset with a passion for supporting learners from diverse backgrounds
Comfortable navigating and learning new tech platforms (e.g. CRMs, learning management
systems)
Bonus Points For:
Experience working in a Career Services, higher ed, or edtech environment
Familiarity with CRM systems
Knowledge of recruiting/HR processes or tech industry hiring trends
Experience improving or automating workflows using technology
Experience supporting alumni engagement or career outcomes tracking
