Department/Unit:
Supply Chain Data Integrity


Work Shift:
Day (United States of America)
This role will be responsible for maintaining the integrity of Enterprise Resource Planning (ERP) system for the hospital's Supply Chain functions that include its item master, vendor master and contracts. Must be able to analyze data and make recommendations as a result of them. Will serve as a liaison between Supply Chain staff and Information Technology. Candidate will use several software platforms to complete tasks, including, but not limited to, the System's ERP, VAMS, GHX and the System's GPO platform.


Education: Minimum: Bachelor’s degree with preference for Information/Computer Management, Supply Chain, Finance, Math, Science or Healthcare majors.

Experience: Minimum 3 – 5 years of business, finance, or management analyst experience.


 Prior experience performing complex data analysis with experience creating data models to support business decisions.

 Prefer 3+ years project management experience.

 Prefer 1 – 3 years previous experience using Lean and/or Six Sigma structured business process improvement.

 Prior experience creating data models to support business decisions.

 Prior experience with Workday, Lawson, McKesson or Meditech preferred.

Skills, Knowledge & Abilities: Communication Skills:


 Excellent oral and written communication skills.

 Ability to analyze data and interpret it to the organization’s needs.

 Facilitation and presentation skills.

 Microsoft Suite and Outlook knowledge highly preferred.


Professional Skills:


 Effective Project and Change Management skills, including initiating, planning and design, executing, monitoring, closing, and post-event evaluating.

 Strong interpersonal skills. Self-starter with ability to deal with ambiguity and frequent change.

 Ability to multitask and self-identify opportunities for improvement.

 Ability to document best practices and educate others to employ them.

 Solid data analysis.

 Ability to perform the job according to conduct defined by the Albany Med Code of Conduct and Employee Manual.

 Ability to use good judgment when performing the functions of the job or when interacting with others.



 Adhere to Albany Med’s policies, procedures, and practices, and to utilize Albany Med’s problem-solving processes for resolving grievances or disagreements.

 Ability to effectively use basic professional software systems including the Microsoft Office Suite, with advanced capabilities within Microsoft Excel.


 Independently organize work to meet established deadlines for submission and completion.

 Gather data from appropriate resources and to translate multiple sources of data into presentable information.


Position Summary:

This position uses analytical, quantitative and qualitative methods to report, educate, standardize and enhance supply chain processes. Extracts and analyzes data, identifies issues and opportunities, and creates and presents recommendations to supply chain staff, internal leadership, and external suppliers. Supports supply chain initiatives. Measures, documents, analyzes, and defines enterprise-wide supply chain business processes and workflows. Supports all divisions of Supply Chain, including Purchasing, Accounts Payable, Receiving & Distribution, Sourcing & Contracts and Value Analysis.

B. Strategic and Operational Planning

1. Coordinates resolution to Supply Chain-related questions and issues:

1.1. Directs questions to the appropriate division of Supply Chain to resolve inquiries.

1.2. Facilitates technical issues with Information Systems and communicates the root cause when resolved, as well as recommend any changes or improvements to avoid further disruption.

2. Report generation and ERP data management:

2.1. Creates on-demand reports to support Supply Chain needs.

2.2. Generates periodic reports as needed for the organization.

2.3. Maintains and upholds the standards put forth by the Data Integrity team.

2.4. Supports ERP system. Provides monthly education sessions for new and existing users. Maintains system documentation. Liaison for system performance including system maintenance coordination, upgrades, troubleshooting, training and testing. Recall management system: Provides user training and education; maintains system documentation. Liaison for system performance including system maintenance coordination, upgrades, troubleshooting and testing.

2.5. Supports other Supply Chain-related systems.as needed and/or requested.

2.6. Acts as a liaison between Supply Chain and Information systems to coordinate changes, issues and any other communication relevant to operations.

C. Planning and Program Development

1. Project management:

1.1. Responsible for execution of small to medium sized supply chain projects and enhancements supporting supply chain and support service departments.

1.2. Performs specific work relevant to assigned service area that meets/exceeds customer expectations.

1.3. Prepares, distributes, presents and describes status and analytic reports for assigned projects.

1.4. Assists Value Analysis teams in acting as a supply chain and project management resource for product trials, introductions, and communicating change events

2. Data analytics:

2.1. Accurately collects and researches data from applications and software used in Supply Chain tools and software provided.

2.2. Monitors own work to ensure accuracy and quality.

2.3. Compiles and analyzes data to identify opportunities for improved standardization and process improvement. Assists Supply Chain staff with identifying benchmarks and baseline information needed to measure key performance indicators (KPIs).

2.4. Assists Supply Chain staff in preparing presentations, narratives, and discussion documents for all internal and external partners.
