About the Role
We are seeking a highly skilled and detail-oriented Payment Reconciliation Specialist to join our Product Operations and Customer Success team. In this role, you will manage end-to-end reconciliation workflows across marketplaces, webstores, payment gateways, 3PLs, and global financial accounting systems, while also driving product improvements based on real-world operational insights.
You will play a key role not only in reconciliation, onboarding, invoicing, and disputesbut also in translating operational knowledge into product features, collaborating with Product Managers and Engineers to enhance platform automation, accuracy, and scalability.
This is a hybrid role combining operations expertise + product contribution, ideal for someone who wants to grow into Product Ownership in the future.
Key Responsibilities
Reconciliation Operations
- Execute and manage payment reconciliation workflows across marketplaces, webstores, PGs, and 3PL partners.
- Validate orders, returns, refunds, fees, commissions, penalties, and settlements to ensure financial accuracy.
- Identify mismatches or anomalies and escalate systemic issues into actionable product requirements.
Invoicing & Settlement Validation
- Generate and validate customer invoices, usage billing, and settlement summaries.
- Track payout cycles, fee structures, and accounting entries across global platforms.
- Work with Finance to ensure compliance and accurate posting to accounting tools.
Customer Onboarding
- Configure marketplace, PG, 3PL, and webstore integrations during onboarding.
- Set up chart of accounts, tax rules, and reconciliation preferences.
- Train new customers and ensure fast adoption of the reconciliation platform.
Dispute Management
- Handle marketplace/platform disputes for missing payments, wrongful charges, or incorrect fees.
- File, track, and close claims with supporting documentation.
- Share dispute patterns with Product to drive automation and predictive alerts.
Product Collaboration & Feature Building
- Serve as the primary domain expert for reconciliation, settlements, marketplace rules, and financial operations.
- Work closely with Product Managers to:
- Define new product features based on operational insights and customer pain points.
- Write detailed functional inputs, workflow diagrams, and acceptance criteria.
- Prioritize issues, gaps, and enhancements that improve automation and accuracy.
- Work closely with Engineering teams to:
- Validate data ingestion, fee calculations, connectors, and reconciliation logic.
- Test new releases, conduct UAT, and ensure edge cases are handled.
- Participate in product roadmap discussions, representing customer operational needs.
- Contribute to building rule engines, reconciliation logic, automation scripts, and dispute workflows inside the product.
Reporting & Documentation
- Prepare reconciliation summaries, exception reports, and audit-ready documentation.
- Maintain SOPs, onboarding documents, dispute logs, and product knowledge bases.
Continuous Improvement
- Identify repetitive operational tasks and propose product automation or workflow redesigns.
- Track marketplace/PG rule changes and help Product update logic accordingly.
- Bring insights from customers to continuously refine product UX and feature capabilities.
Skills & Qualifications
Technical & Domain Skills
- Strong knowledge of the eCommerce and financial lifecycle, including orders, payouts, fees, and reconciliations.
- Experience working with marketplaces (Amazon, Flipkart, Myntra, Nykaa, Ajio), PGs (Razorpay, PayU), 3PLs, and webstores (Shopify, Magento, WooCommerce).
- Strong Excel/Google Sheets skills (Pivot tables, VLOOKUP/XLOOKUP, Power Query).
- Familiarity with financial accounting principlesledgers, taxation, settlement cycles.
- Exposure to API-based data ingestion, ERPs, or connectors is an advantage.
- Understanding of how tech products are built: workflows, testing, UAT, feature requests.

Preferred Qualifications
- Bachelor’s degree in Finance, Accounting, eCommerce, Business, or related fields.
- 2–5 years of experience in eCommerce reconciliation, marketplace operations, finance operations, or settlements.
- Experience in dispute handling and marketplace claim submissions.
- Familiarity with accounting systems like Tally, Zoho Books, NetSuite, QuickBooks.
- Experience working with SaaS or product-based companies is beneficial.
