Job Description
Key missions of the position:
Ensure ontime,accurate preparation and submission of invoices and supporting documents as per Purchase Order (PO) termsto Zonal Railways/Metro customers, enabling faster R
Note generation and payment, while maintaining compliance with internal quality systems (IMS/IRIS) and 5S.
Responsibilities:
Billing Preparation Submission
- Prepare complete billing packs strictly as per PO terms (scope, quantities, rates, taxes, delivery payment clauses).
- Submit bills for ST and Metro (online/offline) for all Zonal Railways within 2 days ofRNoteissuances for all Hosur cases;immediatelyinform the regional team forfollowup.
- Collate and verify all required payment documentation before submission (as demanded by each Railway/Metro unit).
- B. Despatch Advice Documentation Control
- Collect invoices and issueE-Despatch Advice to all consigneesimmediatelyafter despatch.
- Send despatch advice andpaymentrelateddocuments for all Zonal Railways to the Customer/commercial teamper specific requirements.
C. Coordination onRNotes/ DP Extensions
- Proactively follow up onRNotestatus and DP (Delivery Period) Extension for all despatches;maintainstatus and forward confirmations for records/action.
D. Reporting Trackers
- Own and update the Bill SubmissionInvoicetracker.
- Maintain and publish PendingRNotestatus.
- Update IMS (and related) reports as per cadence.
- Provide periodic MIS to Commercial/Customer Care leadership on billing throughput, pending documents, and risks.
E. Other
- Perform any other dutiesreasonably requiredby the company in line with the role.

Education :
- Minimum bachelors degree in Engineering or Business or Accounting (or equivalent)
Experience :
- 2-5 years experience in commercial billing, preferably in Railways/Metro or EPC/industrial manufacturing environments.
- Exposure to Indian Railways/Zonal Railways documentation flows (RNote, DP Extension, consignee communications) isadded advantage.
Other specifications:
- Promote 5 S and sustain good housekeeping within the department.
- Actively implement andcomply with IMS/IRIS total quality systems and company policy requirements.
- Ensure audit ready documentation and traceability at all times.
