Job Description
The Executive Assistant (EA) to the Managing Director plays a pivotal role in ensuring the smooth functioning of the Directors office. This position requires strong organizational skills, excellent communication abilities, and the ability to manage multiple priorities in a professional environment. The EA will act as a key support resource, handling both critical and non-critical responsibilities that directly impact the efficiency of leadership operations.
Critical Responsibilities (KCR)
- Managing day-to-day operations of the Director’s office
- Organizing and maintaining files and records
- Planning and scheduling meetings and appointments
- Managing projects and conducting research
- Preparing and editing correspondence, reports, and presentations
- Coordinating travel and guest arrangements
- Delivering quality customer service
- Maintaining professionalism in all interactions
Non-Critical Responsibilities (NCR)
- Attending and routing telephone calls
- Managing and distributing office stationery
- Overseeing pantry management
- Handling courier inward and outward processes
- Supporting outside company work as required
- Conducting housekeeping audits
Training During Probation
- Orientation on company policies
- Understanding of SOPs and functional processes
- 30-60-90 day activity plan
- In-depth overview of ERP and IMS systems
- Training on process TAT
Key Result Areas (KRAs)
- Assisting management in day-to-day activities with secretarial skills
- Drafting official documents and correspondence
- Coordinating with vendors for payments related to courier, staff welfare, and other needs

- File management and general administration

Role-Specific Requirements
- Stability in career (not frequent job changes)
- Outstation candidates must be willing to relocate with family
- Strong communication and writing skills (mandatory)
- Proficiency in MS Office, ERP systems, and digital tools
- Minimum Qualification: Full-time BBA or equivalent
- Minimum Experience: 3 years
