Role Overview
We are seeking a highly analytical, organized, and detail-oriented Accounts Executive to join our team. The primary focus of this role is to manage our financial administration, invoicing, and corporate expenses. However, as a dynamic advisory firm, we need a versatile professional who is equally comfortable stepping outside traditional accounting boundaries to handle ancillary responsibilities in executive support, HR operations, and office management.
Key Responsibilities
1. Financial & Accounts Management (Primary Focus)
- Zoho Financial Administration: Act as the primary administrator for the companys financial software ecosystem, specifically maintaining and updating Zoho Books and Zoho Expense to ensure pristine financial records.
- Invoice & Accounts Processing: Manage the end-to-end invoice lifecycle. Generate accurate client invoices, track accounts payable/receivable, process vendor payments, and follow up on outstanding dues.
- Expense & Reimbursement Management: Oversee, audit, and process all expense reports, ensuring timely and accurate reimbursements for travel-related costs, flights, hotels, and other operational expenditures.
- Payment & Card Management: Manage corporate and executive credit cards, reconcile monthly statements, and securely handle personal payment management for the executive team as required.
2. Executive & Administrative Support (Ancillary)
- Calendar & Meetings: Coordinate executive schedules, arrange internal and external meetings across various international time zones, and prepare accurate meeting minutes as needed.
- Travel Coordination: Handle end-to-end travel logistics, including booking domestic and international flights, arranging accommodations, managing visa documentation, and creating detailed itineraries.
- HR Administration: Manage employee onboarding and offboarding processes, maintain highly confidential employee records, and track leave/attendance.
Qualifications & Requirements
- Experience:2+ years of proven experience in accounting, finance administration, or a hybrid accounts/operations role. Experience in a corporate, consulting, or financial services environment is a strong plus.
- Financial & Software Acumen: Strong foundational knowledge of accounting principles. Hands-on experience with accounting software is required; specific proficiency in the Zoho Books and Zoho Expense is highly preferred.
- Adaptability: A demonstrated willingness and capability to handle administrative, HR, and executive support tasks alongside core financial duties.
- Communication: Exceptional written and verbal communication skills in English.
