Job Description
Role Overview
The Admin & Travel Coordinator will support corporate headquarters and real estate operations by managing day-to-day administrative functions and end-to-end employee travel coordination across multiple office locations, project sites, and corporate assets. The role requires strong coordination with internal stakeholders, vendors, and service providers to ensure seamless office operations, travel efficiency, and adherence to corporate policies.
Key Responsibilities
Corporate Administration & Facilities Support
- Support administrative operations for Corporate HQ and multiple real estate assets (HO, site offices, project locations).
- Coordinate with facility management teams, landlords, and vendors for housekeeping, security, pantry, parking, and maintenance services.
- Ensure office hygiene, safety standards, and statutory compliance at corporate and site locations.
- Manage administrative contracts, invoices, vendor payments, and service-level compliance.
- Maintain admin MIS, asset records, and documentation for corporate and site offices.
- Support corporate meetings, leadership visits, client walkthroughs, and internal events.
- Coordinate onboarding/offboarding logistics including access cards, seating, and workstation readiness.
Travel & Mobility Management
- Manage end-to-end travel coordination for corporate teams, project teams, and senior leadership.
- Handle domestic and international travel bookings including flights, hotels, ground transport, and site transfers.
- Coordinate site visits, project reviews, and leadership travel schedules in line with approved travel policy.
- Liaise with travel management companies to ensure cost-effective bookings and service quality.
- Support visa processing, travel insurance, and documentation for overseas travel.
- Maintain travel MIS, cost tracking, and vendor reconciliation.
- Address last-minute changes, cancellations, and emergency travel requirements.
Stakeholder & Vendor Management
- Act as a single point of contact for administrative and travel-related queries.
- Coordinate with project teams, corporate functions, and leadership offices.
- Manage relationships with facility vendors, transport providers, hotels, and travel agencies.
- Monitor vendor performance and escalate service gaps where required.
Skills & Competencies
- Strong coordination and multitasking skills across multiple sites
- Experience in corporate HQ or large real estate portfolios
- Cost control and budget tracking mindset
- High attention to detail and compliance orientation
- Strong communication and stakeholder management skills
- Proficient in MS Excel, MIS reporting, and documentation

Qualifications & Experience
- Graduate in any discipline (Administration / Management preferred)
- 47 years of experience in corporate administration and travel coordination
- Prior exposure to real estate, infrastructure, or large corporate campuses preferred
