Flight Operations Executive

Roles and Responsibilities

Flight Planning & Coordination

• Prepare and file flight plans in coordination with pilots and dispatchers.
  
• Monitor flight schedules, routes, and aircraft movements to ensure timely departures and arrivals.
  
• Liaise with air traffic control (ATC), ground handlers, and airport authorities for flight permissions, slots, and coordination.
  
• Ensure weather briefings, NOTAMs, and route analyses are provided to flight crews.
  
• Coordinate with fuel vendors, caterers, and ground services to ensure flight readiness.
  

Crew Coordination & Documentation

• Maintain crew rosters and ensure flight and duty time limitations comply with DGCA / ICAO / EASA regulations.
  
• Coordinate crew positioning, accommodation, and transportation logistics.
  
• Verify that all required documentation (licenses, medicals, passports, visas) of flight and cabin crew are valid and updated.
  
• Prepare and circulate daily flight operation reports and crew schedules.
  
  

Regulatory & Compliance Support

• Ensure all operational activities comply with DGCA, IATA, ICAO, and company policies.
  
• Maintain up-to-date aircraft and operational manuals and ensure dissemination of regulatory updates to concerned teams.
  
• Support the process of obtaining overflight, landing, and diplomatic clearances.
  
• Assist in audits (internal and external) by maintaining accurate flight and operations records.
  

Communication & Coordination

• Act as a central communication point between crew, maintenance, operations control, and management.
  
• Manage and escalate flight disruptions, diversions, or delays by coordinating with relevant stakeholders.
  
• Provide real-time operational updates to management and clients (for charter operations).
  

Administrative & Reporting Tasks

• Maintain detailed records of flight operations, including flight logs, load sheets, and dispatch documents.
  
• Prepare operational performance reports, fuel consumption summaries, and cost analyses.
  
• Assist in vendor coordination (fuel suppliers, ground handlers, accommodation providers).

Key Skills & Competencies

• Strong understanding of aviation operations, flight planning, and dispatch procedures.
  
• Knowledge of DGCA / ICAO / IATA regulations and operational compliance.
  
• Proficiency in using flight planning software (e.g., SkyBook, ARINC, Jeppesen, or similar).
  
• Excellent communication and coordination skills.
  
• Strong attention to detail, multitasking ability, and sense of urgency.
  
• Proficient in MS Excel, Word, and aviation software tools.
