Job Description
Job Responsibilities
- Facility Management: Oversee the maintenance and functionality of office spaces, ensuring all facilities are in optimal condition. Oversee and manage third party vendor staff for daily office tasks. Manage the day-to-day activities of the office, ensuring everything runs smoothly including safety compliance. Maintain inventory and order necessary supplies, equipment, and furniture.
- Health and Safety: Ensure the office environment is safe, clean, and conducive to productivity. Implement and monitor health and safety protocols to ensure a safe working environment for all employees.
- Vendor Coordination: Manage relationships with external vendors and service providers to ensure timely and cost-effective delivery of services.
- Space Planning: Develop and execute space planning strategies to accommodate organizational growth and changes.
- Budget Management: Prepare and manage the budget for workplace operations, ensuring cost-effectiveness and financial efficiency. Support product/program owners in payment processing including vendor onboarding, invoicing and payments. Coordinate financial reporting across ACS/ACSI offices.
- Employee Support: Address and resolve workplace-related issues and concerns raised by employees, fostering a positive work environment. Assist peoples manager in new employee onboarding, logistics and coordination with different teams from different locations. Assist in organizing on-site training sessions, cultural events employee well-being programs. Travel support for visitors and guests.
- Sustainability Initiatives: Promote and implement sustainable practices within the workplace to reduce environmental impact.
- Develop and Implement effective Recruitment Strategies to attract top talent. Manage end to end Recruitment process ensuring timely communication and feedback.
- Source candidates through various Channels, Including Job boards, social media and networking.
- Maintain Accurate and up to date records on each position with feedback for all candidates and Recruitment activities.
- Assist in Onboarding new hires and ensure a Smooth Transition into the company

- A proven track record in office management, facility management, or administrative roles is required.
- Skills: Strong organizational, interpersonal skills, written and verbal communication, and leadership skills are essential.
- Proficiency in MS office software (e.g., Microsoft Office Suite) and exposure to basic project management tool will be a plus.
- Attributes: Proactive, Ownership mindset, Attention to detail, problem-solving abilities, and the ability to multitask effectively
