Job Description
Role & responsibilities:
General Administration
Managing Infrastructure
- Managing and ensuring proper functioning of all office infrastructure like ACs, office equipment like printers, vending machine, fire alarm etc.
- Managing para professionals related infrastructure matters like electrician / plumber / carpenter etc.
- Managing BMC inspection, facility audit etc. from time to time
Facility Management - Housekeeping / Security / Catering Services
- Assigning Duties to Housekeeping & Security
- Stationery / Courier
- Catering
- Transport
Purchase Material/Service in consultation with Central Procurement Team (CPT).
- Identifying Vendor
- Inviting Quotes
- Comparing Quotes
- Negotiating Quotes
- Defining SLAs
- Preparing Purchase Requisition and Purchase Order
- Accepting materials as per the terms of the PO
- Accepting bills, checking & releasing for payment to Finance
Vendor Management
- Assisting CPT team by providing inputs for suggesting rates
- Monitoring performances of vendors and providing input to CPT team
- Distributing vendor performance report to concerned stakeholders
- Maintain copies of contract/agreement as received from CPT
- Meeting vendors to discuss issues in case of poor service quality etc.
Managing Admin Budget
- Monitoring the expenses related to general admin
- Suggesting cost saving measures from time to time without compromising on quality and timeliness of delivery
- Executing cost saving measures

- Preparing report and presenting on cost savings at least half yearly
ADDITIONAL RESPONSIBILITIES:
- Events(Domestic & International), Travel, Transport & Accommodation.
- Look into travel requirements like ticketing, forex etc. in case the Travel SPOC is unavailable
- Planning and organizing employee events like Festivals, picnic, annual day etc.
- Look into compliance requirements related to the facility, transport etc.
Preferred candidate profile:
- Graduate
- Around 5-6 years experience in administration.
- High integrity with no adverse records in past
- Strong negotiation skills
- Expert user of Excel
- Articulate, excellent interpersonal, written, verbal, listening communication skills
- The ability to work independently and in small teams, partner effectively cross-group, and manage multiple priorities and deliverables concurrently
