Job Description

Job Summary

The Senior Associate/Asst Manager Travel Desk Operations will be responsible for independently managing the end-to-end travel desk operations for BDO RISE. This role requires a proactive, detail-oriented, and service-driven professional who can ensure seamless travel arrangements for employees, optimize travel costs, and maintain compliance with company policies.

Key Responsibilities

  • End-to-End Travel Management:
    Independently handle all aspects of domestic and international travel arrangements, including flight bookings, hotel accommodations, visa processing, ground transportation, and travel insurance for RISE Employees.

Provide support in above mentioned areas to US employees travelling to India.

  • Vendor Coordination:
    Liaise with travel agencies, airlines, hotels, booking platforms and other service providers to negotiate rates, manage bookings, and resolve issues.
  • Policy Compliance:
    Ensure all travel bookings adhere to BDO RISE’s travel policies and guidelines. Maintain up-to-date knowledge of travel policies and communicate changes to employees.
  • Cost Optimization:
    Monitor travel expenses, identify cost-saving opportunities, and prepare periodic reports on travel spend and trends.
  • Travel Support:
    Devise process/system to provide 24/7 support for travelers in case of emergencies, last-minute changes, or disruptions.
  • Documentation & Reporting:
    Maintain accurate records of all travel bookings, approvals, and expenses. Prepare and present travel MIS to management as required.
  • Process Improvement:
    Continuously review and improve travel desk processes to enhance efficiency and traveler satisfaction.
  • Stakeholder Management:
    Serve as the primary point of contact for all travel-related queries from employees and management.

Qualifications & Experience

  • Bachelor’s degree in any discipline.
  • 5-8 years of relevant experience in corporate travel management, preferably in a professional services or multinational environment.
  • Strong knowledge of travel booking tools, visa processes, and travel policies.
  • Experience in vendor management and cost negotiation.

Skills & Competencies

  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • High attention to detail and problem-solving skills.
  • Ability to work independently and handle confidential information.
  • Proficiency in MS Office and travel management software.
