Role Summary:
The ServiceNow Access & Licensing Administrator is responsible for managing user access, roles, groups, and licensing within the organization's ServiceNow platform. This role ensures users receive appropriate access to perform their job functions while maintaining compliance with security, governance, and licensing requirements.
The administrator serves as the primary steward for ServiceNow user provisioning and role management, ensuring users are not over-provisioned, elevated licenses are controlled, and access aligns with the principle of least privilege. This individual provides regular reporting and proactive communication to leadership regarding license consumption, access risks, and governance opportunities.
Responsibilities
User Access Management
- Administer user accounts within the ServiceNow platform.
- Provision, modify, and deprovision user access based on approved requests.
- Assign appropriate roles and group memberships according to job responsibilities.
- Ensure timely removal of access when users transfer roles or leave the organization.
- Validate that access requests comply with established governance standards.
Role and Group Administration
- Create and maintain ServiceNow groups.
- Ensure groups contain only the roles necessary for users to perform their responsibilities.
- Review and optimize role assignments to prevent over-provisioning.
- Apply role-based access control (RBAC) best practices.
- Collaborate with process owners to define and maintain appropriate access models.
License Management and Governance
- Monitor elevated and specialized ServiceNow license consumption.
- Track license utilization against contracted allocations.
- Identify unused, duplicate, or excessive license assignments.
- Recommend license reclamation opportunities.
- Alert leadership and platform governance teams when license thresholds are approached or exceeded.
- Produce recurring license consumption and forecasting reports.
Compliance and Audit Support
- Conduct periodic access reviews and certification activities.
- Ensure compliance with internal security policies and governance standards.
- Support audit requests related to user access and role assignments.
- Maintain documentation related to access management procedures.
- Assist with segregation of duties and access control reviews.
Reporting and Metrics
- Develop and maintain dashboards and reports for:
- User counts
- Elevated role assignments
- License utilization
- Group membership trends
- Dormant accounts
- Access review findings
- Present findings and recommendations to platform leadership.
Continuous Improvement
- Identify opportunities to streamline access management processes.
- Recommend governance improvements related to user administration and licensing.
- Support implementation of ServiceNow access management best practices.
- Partner with ServiceNow Platform Administrators, Security, HR, and Governance teams to improve access controls.
Qualifications
- 3+ years of ServiceNow administration experience.
- Experience managing ServiceNow users, groups, and roles.
- Understanding of ServiceNow licensing models and user types.
- Knowledge of role-based access control (RBAC) principles.
- Experience supporting compliance, audit, or governance activities.
- Strong analytical and reporting skills.
- Excellent organizational and communication skills.
Required Qualifications:
- ServiceNow Certified System Administrator (CSA)
Key Performance Indicators (KPIs):
- Percentage of users with access aligned to approved roles.
- Number of over-provisioned users identified and remediated.
- Elevated license utilization rate.
- License compliance against contracted allocation.
- Time to fulfill access requests.
- Completion rate of periodic access reviews.
- Reduction in unused or dormant accounts.
- Accuracy of role and group assignments.
Shifts Requirements:
- 2 PM to 11 PM IST/ 7 PM to 4 AM IST
Work Mode:
- Hybrid Working Mode - 3 days' work from office every week.

Consilio stands as one of the most recognized, well regarded and capable eDiscovery, document review and legal consulting service providers anywhere in the world.
Initially founded in 2002 as First Advantage Litigation Consulting, Consilio was initially focused on providing Forensics Consulting services to multinational corporate clients who were beginning to struggle with the Big Data challenges of electronically stored information (ESI).
With the technology addition from the acquisition of True Data Partners – which built data processing software that had strength in multilingual document processing – Consilio began to expand its footprint into data processing and eDiscovery services. In late 2005, Consilio launched its web-based review technology, Global RPM, and Secure Data Hosting services.
From 2006 to 2010, Consilio created and expanded its operations in Europe and Asia. We established an India-based operations team to enable follow-the-sun support for our increasingly global client base. That period also saw the addition of a more in-depth bench of technical consulting resources that focused on providing eDiscovery services and eDiscovery consulting as well as document review services.
In the early 2010’s, Consilio continued its expansion and investment in Europe and Asia in response to client inquiries and the growth of cross-border litigation. This period also saw Consilio’s introduction of its industry-leading Enhanced Audio Review solution, as well as the introduction of text analytics workflows in the Global RPM review platform. In 2013, First Advantage Litigation Consulting rebranded to Consilio.
In 2015, Consilio separated from parent-company First Advantage, taking on Shamrock Capital Advisors as its principal investor. With the support of Shamrock, Consilio added Backstop LLP, Proven Legal Technologies, the Huron Legal practice of Huron Consulting Group and EQD. The addition of these complementary businesses added additional capability and solutions to Consilio. Backstop Predictive Coding software was added to the technology suite, and a litany of legal consulting services and strong technical skills were added from the Huron Legal, Proven Legal Technologies, and EQD businesses. It also launched the latest iteration of its web-based platform, Sightline.
In 2018, Consilio merged with Advanced Discovery in a transaction powered by new private equity partner, GI Partners. In October of the same year, Consilio also announced and acquired another highly regarding leader in legal consulting and services, DiscoverReady. Both companies expanded Consilio’s geographic footprint, technology innovations, as well as its depth of expertise while offering highly complimentary portfolios of law firm and corporate clients.
In 2021, Consilio completed the announced merger with Xact Data Discovery in a transaction together with private equity partners, Stone Point Capital LLC and by Aquiline Capital Partners LLC. The combined company offers clients expanded geographic reach, strengthened technologies and workflows.
