Job Description

MALE CANDIDATES PREFERRED


As an Assistant to the MD, you will provide high-level administrative support, manage schedules, coordinate meetings, handle confidential information, and ensure efficient communication. Responsibilities include organising travel arrangements, preparing reports, and liaising between the Director and internal/external stakeholders. The role demands discretion, strong organisational skills, and the ability to handle various tasks precisely and professionally.

Role of an Assistant to MD

  • Calendar Management: Effectively managing the Director's schedule, including arranging appointments, meetings, and travel plans. This involves coordinating with internal and external stakeholders to ensure optimal use of the Director's time.
  • Communication Handling: Acting as a primary point of contact between the Director and internal/external parties. This includes screening and managing emails, calls, and other forms of communication, responding on behalf of the Principal when necessary.
  • Information Management: Handling confidential information with discretion and maintaining organised records. This may involve preparing reports, presentations, and documentation for the Director.
  • Meeting Coordination: Planning and organising meetings, including preparing agendas, taking minutes, and ensuring follow-up actions are communicated and executed.
  • Travel Arrangements: Coordinating domestic and international travel logistics for the Director, including transportation, accommodation, and itinerary planning.
  • Project Support: Assisting the Director in various projects by conducting research, compiling data, and providing administrative support to meet project milestones.
  • Relationship Management: Building and maintaining positive relationships with key internal and external stakeholders. This involves effective communication and representing the Director professionally.
  • Problem-solving: Addressing day-to-day challenges and solving problems independently or by consulting with the Director when necessary.
  • Event Planning: Organising and coordinating company events, conferences, or other functions that involve the Director's participation.

Requirements and skills

  • Work experience as an Assistant, Personal Assistant or similar role
  • Excellent MS Office knowledge
  • Outstanding organisational and time management skills
  • Familiarity with office gadgets and the latest applications
  • Excellent verbal and written communication skills
  • Discretion and confidentiality
  • High School degree
