Job Description
Performs administrative support and secretarial duties for an individual, department or group. Answers telephones, greets guests and prepares correspondence, presentations and reports. Maintains calendars, coordinates meetings and travel arrangements. Proficient in current computer programs such as Word, PowerPoint, and Excel etc. Maintains confidential records and information.
Responsibilities
- May support multiple managers, senior managers, director, senior director or department.
- Under limited supervision, performs a variety of administrative support duties that require skills and knowledge of DN organizational policies and procedures.
- Determines methods and procedures on new assignments and may provide guidance to less experienced personnel.
- Uses professional concepts, sound judgment and company policies and procedures to complete assignments and resolve problems.
- May track and maintain operational data within a database or use other software and tools as appropriate for information required by managers.
- Coordinates team activities and priorities.
- Identifies opportunities for improvement; recommends possible training opportunities.
- Builds productive internal relationships at all organizational levels including senior management.
- Collaborates cross-functionally to achieve objectives and ensure information flow.
- Coordinates with most levels of management and employees across sites, departments and functions to support assigned area.
- Ensures accuracy of meeting minutes and other correspondence and presentation materials.
- Independently prepares presentations and recurring reports.
- Assists with meeting and other event set-up and arrangement.
- Assists with data collection, consolidation and management.
- Assists with routine report preparation and distribution.
- Maintains filing systems.
- Submits and reconciles expense reports for assigned managers.
- Assists with training new hires within team.
- Assists with vendor management.
- Participates in ad-hoc cross-functional projects as assigned.
Required Qualifications
- Education or equivalent work experience required.
- Minimum of 4-6 years of relevant experience or equivalent combination of education and experience in Administrative Assistance.
- Good business English skills (Written and spoken).
