Job Description

: Executive - Admin & Facilities

  • Location: Ahmedabad, India
  • Work Mode: 100% Onsite
  • Shift Timings: 2:00 PM 11:00 PM IST
  • Reporting To: HR Business Partner

Key responsibilities

  • Manage daily onsite office operations, facility maintenance and overall cleanliness.
  • Lead and monitor the performance of housekeeping & security staff to ensure operational efficiency and the meeting of group targets.
  • Support Human Resources initiatives, including new employee onboarding, maintenance of employee records, and monthly organizational charts.
  • Coordinate with stakeholders to implement fulfillment solutions and manage space, transport, and courier logistics.
  • Oversee the entire purchase process, including vendor management, sourcing new vendors, negotiations, billing, payments, and fixed asset management.
  • Handle building and vendor compliance, legal requirements, and both internal and external audits.
  • Maintain comprehensive Admin and Facility MIS reports on a daily, weekly, and monthly basis while improving office workflows.
  • Promote safe work practices and environmental protection, ensuring all safety and security standards (CCTV, Access Control) are respected.
  • Manage employee engagement activities, onsite events, and the daily lunch order process for the teams.

Profile description

  • Minimum 4-5 years of experience in Facility and General Administration, preferably within an IT office management environment.
  • Must be able to work strictly onsite in Ahmedabad during the 2:00 PM to 11:00 PM shift.
  • High proficiency in Microsoft 365 (Word, Excel, Outlook) combined with superior organizational and planning abilities.
  • Excellent written and verbal communication skills with the ability to interact professionally at all levels of the organization.
  • Strong problem-solving skills, high attention to detail, and a demonstrated ability to manage multiple projects simultaneously.
  • A positive, professional attitude with the ability to work both independently and as part of a collaborative team.
