Job Title: Director Operations (Administration)
Job Summary: We are seeking an experienced and strategic Director Operations (Administration) to oversee and manage the organization’s administrative, facility, and operational support functions. The role is responsible for ensuring smooth day-to-day administrative operations, infrastructure management, vendor governance, compliance, cost optimization, and employee workplace experience.
The ideal candidate will bring strong leadership skills, operational expertise, financial acumen, and the ability to implement efficient administrative systems that support business growth.
Key Responsibilities
1. Administrative Leadership
- Lead and manage overall administrative operations across locations.
- Develop and implement administrative policies, procedures, and SOPs.
- Ensure efficient coordination between departments for operational support.
- Drive continuous improvement in administrative processes and controls.
2. Facilities & Infrastructure Management
- Oversee office facilities, infrastructure planning, space management, and expansions.
- Ensure proper maintenance of office premises, utilities, and equipment.
- Manage facility vendors, AMC contracts, housekeeping, security, and transport services.
- Ensure workplace safety standards and statutory compliance.
3. Vendor & Contract Management
- Negotiate and manage contracts with service providers and vendors.
- Ensure cost optimization without compromising service quality.
- Monitor vendor performance and SLA adherence.
4. Compliance & Governance
- Ensure compliance with local laws, labor regulations, and statutory requirements.
- Oversee audits related to administration and facilities.
- Implement risk management and safety protocols.
5. Financial & Budget Management
- Prepare and manage administrative budgets.
- Monitor expenses and drive cost-efficiency initiatives.
- Ensure accurate reporting and financial control of operational expenses.
6. Asset & Inventory Management
- Oversee procurement and tracking of office assets and inventory.
- Implement asset management systems and lifecycle tracking.
- Ensure proper documentation and audits of company assets.

- Lead and mentor administration, facilities, and support staff.

Required Qualifications & Experience
- 15+ years of overall experience in administration and operations.
- Minimum 8+ years in a senior administrative leadership role.
- Strong experience in multi-location facility management.
- Proven track record in vendor management and cost optimization.
- Knowledge of statutory compliance and workplace safety regulations.
- Excellent leadership and stakeholder management skills.
Preferred Skills
- Experience in IT/Corporate/Service-based organizations.
- Strong negotiation and contract management skills.
- Exposure to ISO standards or compliance frameworks (preferred).
- Excellent communication and organizational skills.
