Job Description

Key Responsibilities:

Procurement & Vendor Management

  • Identify, evaluate, and maintain a reliable vendor base for materials, equipment, and services.
  • Invite quotations, compare prices, negotiate terms, and finalise purchase orders.
  • Ensure timely procurement of materials as per the requirements of various departments and campuses.
  • Monitor vendor performance based on quality, delivery, and cost-effectiveness.

Inventory & Cost Control

  • Coordinate with stores and departments to maintain optimal inventory levels.
  • Implement cost-saving initiatives without compromising quality and operational efficiency.
  • Ensure all purchases are within the approved budget and aligned with institutional policies.

Documentation & Compliance

  • Maintain accurate records of purchase orders, quotations, approvals, and vendor contracts.
  • Ensure compliance with statutory, audit, and institutional guidelines for procurement.
  • Prepare periodic reports on procurement activities and expenditure.

Coordination & Communication

  • Liaise with academic, administrative, and technical departments to understand procurement needs.
  • Work closely with finance for purchase order approvals, payment processing, and budget tracking.
  • Communicate effectively with management on purchase status, delays, and cost implications.

Qualifications & Experience:

  • Bachelors degree in Commerce / Business Administration / Engineering.
  • MBA or Diploma in Materials Management (preferred).
  • Minimum 8–10 years of relevant experience in procurement or purchase management, preferably in an educational or institutional environment.

Key Skills:

  • Strong negotiation and vendor management skills.
  • Knowledge of procurement policies and statutory compliance.
  • Excellent communication, documentation, and analytical abilities.
  • Proficiency in ERP systems and MS Office.
  • Ability to handle multiple projects and meet deadlines under pressure.
