Job Title: Admin Executive / Administration Officer

Industry: Construction & Infrastructure
Location: Banglore (Devanahalli)
Experience: 1-3 Years (Construction background preferable)

Job Summary

The Admin Executive will be responsible for handling day-to-day administrative operations at the project site / head office, ensuring smooth functioning of office facilities, coordination with vendors, support to project teams, and compliance with company policies.


Key Roles & Responsibilities:


1. Office & Site Administration

  • Manage daily administrative activities at site / office
  • Ensure availability of office supplies, stationery, and consumables
  • Maintain records, files, registers, and documentation
  • Handle incoming & outgoing correspondence, courier, and dispatch

2. Facility & Infrastructure Management

  • Coordinate maintenance of office, site facilities, utilities, and assets
  • Oversee housekeeping, security, and pantry services
  • Ensure cleanliness, safety, and discipline at site/office

3. Vendor & Service Coordination

  • Coordinate with vendors for housekeeping, security, transport, rentals, etc.
  • Raise PO requests and track bills, invoices, and payments
  • Maintain vendor records and service agreements

4. Logistics & Asset Management

  • Track and maintain office assets, furniture, and equipment
  • Support material inward/outward records (non-technical items)
  • Coordinate transport, vehicle movement, and fuel records if required

5. HR & Compliance Support

  • Support HR in attendance, leave records, and manpower coordination
  • Assist in onboarding formalities for new joiners at site
  • Support statutory compliance documentation (ESI, PF, labour license, ID cards, etc.)

6. Coordination & Reporting

  • Coordinate with Project Managers, Accounts, HR, and HO Admin
  • Prepare MIS reports related to admin expenses and activities
  • Support audits and inspections as required

Qualifications & Skills

  • Any Graduate
  • 1-3 years of admin experience in construction / infrastructure / project environment
  • Knowledge of site administration and vendor management
  • Basic understanding of labour laws & compliance (added advantage)
  • Proficient in MS Office (Word, Excel, Email)
  • Good communication and coordination skills
