Job Description

Job Title: HR Executive / US IT Staffing Coordinator

Location: Remote

Employment Type: Full-Time

Experience: 2+ Years in US IT Staffing / HR Operations

Job Summary

We are looking for a proactive and detail-oriented HR Executive / US IT Staffing Coordinator to support our recruitment, onboarding, compliance, vendor management, and staffing operations. The ideal candidate will work closely with recruiters, account managers, consultants, vendors, and clients to ensure smooth execution of all US staffing processes.

Key Responsibilities

US Staffing Operations Support

  • Assist recruiters in managing the end-to-end recruitment and onboarding process.
  • Coordinate with candidates, consultants, vendors, and clients throughout the hiring lifecycle.
  • Maintain accurate records of submissions, interviews, offers, starts, extensions, and consultant status.
  • Track consultant onboarding requirements and ensure timely completion.

Employment & Compliance Management

  • Support engagements involving W2, C2C, and 1099 consultants.
  • Collect, verify, and maintain employment and compliance documentation.
  • Assist with work authorization verification for H1B, OPT, CPT, EAD, Green Card holders, and US Citizens.
  • Ensure all onboarding documents are complete and compliant with client requirements.

Contract & Documentation Support

  • Assist in reviewing and maintaining staffing-related agreements and documents, including:
  • Master Service Agreements (MSA)
  • Statements of Work (SOW)
  • Purchase Orders (PO)
  • Non-Disclosure Agreements (NDA)
  • Vendor Agreements
  • Coordinate with internal teams to ensure required documentation is executed and stored properly.

MSP/VMS Administration

  • Support recruitment and staffing activities through MSP and VMS platforms.
  • Manage requisition tracking, candidate submissions, interview scheduling, onboarding updates, and consultant records within systems such as Fieldglass, Beeline, VNDLY, and IQNavigator.
  • Monitor compliance requirements and onboarding tasks within client portals.

Consultant & Timesheet Management

  • Track consultant start dates, assignments, extensions, and contract renewals.
  • Coordinate timesheet collection, approvals, and submission processes.
  • Act as a point of contact for consultant operational and documentation-related queries.

Vendor & Client Coordination

  • Communicate with vendors, implementation partners, and direct clients regarding consultant onboarding and compliance requirements.
  • Maintain strong professional relationships with external partners.
  • Follow up on documentation, approvals, purchase orders, and contract-related activities.

Required Knowledge & Experience

Candidates should have hands-on experience or strong working knowledge of:

Required Skills

  • Excellent organizational and documentation skills.
  • Strong verbal and written communication.
  • Ability to manage multiple tasks and deadlines simultaneously.
  • Attention to detail and compliance-oriented mindset.
  • Experience with ATS, CRM, or staffing management tools is preferred.
  • Proficiency in Microsoft Excel, Word, and Outlook.

Preferred Candidate Profile

  • Prior experience in US IT Staffing, HR Operations, Staffing Coordination, or Recruitment Support.
  • Familiarity with staffing compliance and consultant onboarding processes.
  • Ability to work independently and collaborate with recruiters, sales teams, vendors, and clients.
  • Strong follow-up and stakeholder management skills.
