Job Description
Role Overview
We are looking for a polished and highly organized Transfer Executive to support the Transfer phase of a Build-Operate-Transfer (BOT) engagement. This role requires strong communication, collaboration, and administrative excellence. The individual will work closely with HR, Talent, Legal, IT, and Finance teams to ensure seamless coordination, structured knowledge transfer (KT), and smooth execution of the overall transfer activities.
The ideal candidate should have prior experience supporting at least one transition/transfer (preferred) but not mandatory, thrive in a multi-vendor environment, and demonstrate ownership, professionalism, and proactive stakeholder management.
Key Responsibilities
1. Cross-Functional Collaboration
- Act as the primary administrative coordinator between HR, Talent Acquisition, Legal, IT, Finance, and other internal teams.
- Ensure all teams are aligned on transfer timelines, requirements, and deliverables.
- Orchestrate collaboration across departments to maintain smooth workflow and timely closure of activities.
2. Knowledge Transfer (KT) Coordination
- Assist in planning, scheduling, and documenting KT sessions required for BOT transfer.
- Maintain KT trackers, attendance logs, follow-ups, and action item closures.
- Ensure all documentation, SOPs, and handover materials are updated and properly stored.
- Support end-to-end administrative governance of the transfer phase.
- Track milestones, maintain checklists, and ensure readiness across stakeholder groups.
- Take ownership of documentation updates, meeting minutes, follow-ups, and reporting.
4. Vendor & Stakeholder Management
- Coordinate with multiple vendors and internal teams to ensure smooth communication and workflow.
- Manage queries and provide timely updates to stakeholders at all levels.
- Support risk/issue identification and escalate appropriately.
- Performance, SLA & Compliance Alignment
- Prepare and present Transfer Readiness Reports, audit findings, and compliance certifications to client leadership.
- Ensure all activities adhere to BOT contractual obligations, legal guidelines, and regulatory frameworks.
6. Risk, Issue & Dependency Management
- Identify Transfer-phase risks and dependencies early and implement mitigation plans.
- Ensure stability of operations during the transition, with no dips in service quality or customer experience.

7. Documentation & Reporting
- Maintain administrative trackers, MIS reports, Excel logs, and status dashboards.
- Prepare executive-level PowerPoint presentations.
- Ensure all records related to transfer, compliance, and KT are accurate and up to date.
8. General Administrative Excellence
- Manage calendars, meeting schedules, reviews, and stakeholder interactions.
- Support logistical requirements such as room bookings, onboarding coordination, and document circulation.
- Ensure smooth day-to-day administrative functioning throughout the BOT transfer duration.

- 1015+ years of experience in program management and shared services setup, with a strong preference for candidates experienced in multi-vendor environments.
- Proven experience in managing large-scale people's transitions across technology, operations, shared services, or BOT environments.
- Strong knowledge of program governance, IT service delivery, operational excellence, and change management.
- Excellent stakeholder management, cross-cultural communication, and executive reporting capability.
- Ability to operate in a fast-paced environment with strong decision-making and problem-solving skills.
