Job Description

Job Summary
The Due Diligence Officer will be responsible for conducting thorough verification and due diligence of client documents, registration details, payments, agreements, invoices, and related information before they move to the next stage of processing.
The role requires strong attention to detail, analytical ability, documentation discipline, and the ability to identify discrepancies, incomplete information, compliance risks, or process gaps.
The DDO will act as an important control point in the company's internal verification process, ensuring that information is accurate, complete, properly verified, and supported by the required documents before approval or further processing.

Key Responsibilities
1. Client & Document Verification
    • Verify client information, registration forms, identity documents, and supporting documents.
    • Ensure all mandatory fields and documents are complete and accurate.
    • Cross-check information across CRM, registration forms, invoices, agreements, and supporting documents.
    • Identify discrepancies, missing information, duplicate records, or inconsistencies.
    • Ensure required approvals and signatures are available before processing.
2. Invoice & Agreement Verification
    • Verify invoices before they are forwarded for agreement preparation or further processing.
    • Cross-check client name, program/product, state/country, amount, payment details, and other relevant information.
    • Ensure that the information in the invoice matches the registration form and CRM records.
    • Verify that agreements are prepared based on correctly verified information.
    • Immediately escalate discrepancies instead of allowing them to proceed to the next stage.
3. CRM Verification
    • Verify that required client information and documents are correctly updated in CRM.
    • Check whether registration forms and supporting documents have been uploaded in the required format.
    • Ensure mandatory CRM fields are completed.
    • Monitor data accuracy and identify incorrect or incomplete entries.
    • Maintain proper verification records within the prescribed process.
4. Payment & Transaction Verification
    • Cross-check payment details against approved invoices and client records.
    • Verify that payments are received through the approved company account/channel.
    • Identify incorrect payment references, mismatched amounts, or unauthorized payment routes.
    • Escalate financial discrepancies to Accounts/Finance and management.
5. Risk Identification & Escalation
    • Identify potential operational, financial, documentation, or compliance risks.
    • Escalate suspicious, inconsistent, or incomplete cases to the appropriate authority.
    • Ensure high-risk cases are not processed without proper clarification or approval.
    • Maintain confidentiality of client and company information.
6. Quality Control
    • Conduct first-level/independent verification before a case moves to the next department.
    • Identify recurring errors and report them to management.
    • Maintain records of errors, discrepancies, and corrective actions.
    • Coordinate with Operations, Accounts, HR, CRM, Sales, and other departments whenever clarification is required.
7. Reporting
    • Prepare daily/weekly due diligence and verification reports.
    • Maintain records of:
    • Cases verified
    • Cases approved
    • Cases rejected/returned
    • Discrepancies identified
    • Pending clarifications
    • Repeated errors
    • Submit escalation reports for serious or recurring process violations.
