Community & Events Executive –

About Us

The Immersion Room is a premium creative, wellness and cultural venue in Gurgaon, hosting workshops, performances, photoshoots, corporate events and immersive experiences.

Role Overview

As the Community & Events Executive, you will own the operational execution of events from planning to wrap-up. You will coordinate artists, vendors, guests, technical setup and social media while ensuring every event reflects the premium standards of The Immersion Room.

Key Responsibilities

Event Setup & Venue Readiness

• Prepare venue layouts and event setups.

• Arrange furniture, décor, mats, signage and event materials. • Test lighting, sound, projector and AV equipment.

• Maintain venue presentation before, during and after events.

Vendor & Production Management

• Coordinate caterers, decorators, florists, photographers, videographers, DJs, sound & lighting teams and other vendors.

• Obtain quotations, compare pricing and maintain a preferred vendor database.

• Supervise vendor setup and quality.

Artist & Facilitator Management

• Coordinate schedules, hospitality, rehearsals and technical requirements. • Be the primary point of contact for artists and facilitators.

Guest Experience & Ticketing

• Manage registrations, guest lists and ticketing.

• Welcome guests and resolve concerns professionally.

Social Media & Content

• Capture photos and videos.

• Post live Instagram stories and updates.

• Assist with behind-the-scenes content creation.

Technical Operations

• Operate microphones, speakers, projectors, playlists and lighting. • Coordinate with technical vendors when required.

Inventory & Logistics

• Maintain event inventory and equipment.

• Coordinate setup, pack-down and venue reset.

Skills

Excellent communication, organisation, multitasking, hospitality mindset, comfort with Instagram, basic AV understanding, vendor coordination and willingness to work evenings/weekends.

KPIs

Event execution quality, guest satisfaction, artist satisfaction, venue readiness, social media content delivery, operational efficiency and vendor management.
