Job Description
Role: Admin Lead (Offshore Administration Support)
Location: HSR Layout, Bangalore
Work Hours: US Shift (6:30pm to 3:30am)
Role Overview:
The Admin Lead will act as the single point of contact for all administrative and facilities-related support for the offshore team based in the Bangalore office. The role is responsible for ensuring smooth workplace operations, employee safety and security, travel and transport coordination, food and shift amenities, and effective vendor management. The incumbent will ensure adherence to statutory and internal compliance requirements, maintain service continuity, and coordinate closely with internal stakeholders to enable efficient and disruption-free offshore operations.
Experience:
- 69 years of experience in administration, facilities management, or workplace operations
- At least 2–3 years of experience managing night-shift or 24x7 office operations
- Prior experience supporting offshore / captive / GCC / BFSI environments is highly preferred
Qualifications: Graduate in any discipline
Key Responsibilities:
1. Facilities & Workplace Operations
- Manage end-to-end administration of the offshore premises during US shift hours
- Ensure readiness and upkeep of workstations, meeting rooms, utilities, housekeeping, and hygiene standards
- Coordinate seating layouts, access cards, and workspace setup for new joiners and internal movements
2. Night-Shift Safety, Security & Employee Wellbeing
- Ensure robust night-shift security arrangements, including security staffing, visitor management, access control, and CCTV monitoring
- Implement and monitor women employee safety measures, emergency response protocols, and secure transport arrangements (where applicable)
- Ensure compliance with statutory night-shift norms and internal safety guidelines
3. Travel, Transport & Shift Amenities
- Liaise with travel and transport vendors to ensure compliant, cost-effective services, including late-night and early-morning transfers
- Manage night-shift amenities, including food and canteen services, ensuring quality, hygiene, and timely availability

4. Vendor, Cost & Service Management
- Act as the single point of coordination for all administration-related vendors (security, housekeeping, food, transport, maintenance)
- Support PO creation, invoice validation, and cost tracking in coordination with finance and procurement teams
5. Compliance, Stakeholder Coordination & Continuous Improvement
- Ensure adherence to local labor laws, safety regulations, and internal compliance requirements
- Serve as the primary administrative contact for offshore employees during US shift hours and coordinate with HR, IT, Security, and Facilities teams
- Proactively identify operational risks, gaps, and improvement opportunities
Key Skills & Competencies
- Strong knowledge of administration and facilities operations in corporate/GCC environments
- Proven ability to manage night-shift operations independently
- High ownership mindset with excellent coordination and follow-through
- Strong vendor management and negotiation skills
- Working knowledge of statutory compliance, safety, and security norms (India & GCC-aligned standards)
