Job Description

We are looking for Professionals who can handle large scale event. This role is with one of Naukri Expert Assistant Client based in Mumbai. Following are the details-
Experience: Min. 14-15 years in large-scale event leadership (BFSI/FinTech/Tech or top-tier event/experiential agencies)
Job Location: Mumbai
Role Summary:
We are hiring a seasoned Events leader to architect, operationalize, and scale our end to end events charter, owning strategy through on ground delivery for large format industry platforms (e.g., Global FinTech Fest), flagship owned properties, trade shows, partner co hosted programs, and CXO roundtables.

The role demands exceptional program leadership across marketing, operations, security, and regulatory coordination-working closely with senior management and external bodies such as Sr. Government authorities relevant government ministries, and VVIP security agencies (e.g., SPG)-to deliver flawless events that drive brand impact, stakeholder engagement, and measurable ROI.
Scope & Scale:
- Large-format events (~100k+ attendees) with VVIP participation and strict protocol management
- Multi city execution; extended work hours during build up/live days
- Complex stakeholder ecosystem: internal leadership, product/business units, policy & legal, PR; external-industry bodies (IAMAI, PCI), regulators, government bodies, SPG/Police, venue authorities, OEMs, agencies, and vendors
- Full ownership of the events portfolio; procurement, documentation, compliance, and audit readiness
Key Responsibilities:
1) Strategy & Portfolio Leadership:
- Define the annual events strategy (owned, hosted, co branded, trade shows) aligned to NPCI brand, product, and partnership goals.
- Evaluate/shortlist key industry events; secure participations, speaking slots, and sponsorships with clear objectives and ROI.
- Create multi tier event models (flagship, regional, digital/hybrid) with audience, content, and budget guardrails.
2) End to End Event Program Management:

- Own the program end-to-end: concept, master plan, project plan, venue, branding, fabrication, content, programming, talent/speakers, showflow, rehearsals, and live operations.
- Draft event briefs, manage agencies, and ensure on time, on budget, zero defect delivery.
- Oversee badging/accreditation, passes, VIP movement plans, access control, and crowd management with venue security.
3) Stakeholder, Regulatory & Protocol Management:
- Act as single threaded owner for cross functional alignment - CXOs, product, PR/Comms, legal/compliance, finance, procurement.
- Liaise with IAMAI/PCI, government bodies, and regulators for participation, approvals, messaging protocols, and joint announcements.
- Coordinate with security agencies for VVIP movement, route, dais protocols, green rooms, and risk mitigation.
4) Marketing, Communications & Content:
- Drive integrated event marketing: paid/owned/earned media, email, SEO/SEM, influencer KOLs, PR, social.

- Build and run content calendars, speaker briefs, scripts, panel flows, and post event content atomization.
- Ensure brand governance across all collaterals - stalls, signage, motion graphics, decks, brochures, videos.
5) Event Tech, Digital & Data:
- Own event tech stack (e.g., registration, ticketing, check in, mobile app, lead capture, badge printing, QR/NFC, session analytics).
- Manage live streaming, multi platform broadcast (YouTube/LinkedIn/Twitter), and recording pipelines.
- Orchestrate automation for communications and dashboards for real time ops and post event analytics.
6) Commercials, Contracts & Governance:
- Build detailed budgets, BOM/BOQ, and variance controls; negotiate with venues, OEMs, and agencies for best value.
- Lead RFPs, SLAs, SoWs, and contracting with airtight deliverables, indemnities, IP usage, and service credits.
- Ensure process/audit compliance (documentation, approvals/POs/GRNs/invoices), insurance, statutory permits, and EHS standards.
7) Team Leadership & Vendor Ecosystem:
- Hire, coach, and scale a high performing events team and bench strength across disciplines.
- Curate and govern a vendor ecosystem (fabrication, A/V, broadcast, content, experiential, staffing, hospitality).
- Embed playbooks & SOPs; run pre mortems, rehearsals, and post mortems with corrective action logs.
8) Measurement & ROI:
- Define clear success metrics per event; build pre /during/post event measurement plans.
- Report ROI (e.g., stakeholder satisfaction/NPS, qualified leads/meetings, media reach, digital engagement, cost per outcome).
- Institutionalize learnings to optimize portfolio (format, content, spend, partner mix).

Event Execution:

- Plan & execute digital and offline events at scale.
- Vendor management: fabrication, A/V, staging, broadcast, hospitality, logistics.
- Collaborate with media/event agencies to deliver new innovations and immersive experiences.
- Social media marketing for events-organic, paid, and influencer workflows.
- Must have: Ability to brief, review, and extract high quality event collaterals (booth designs, AVs, decks, microsites).
Event Tech:
- Implement and operate event tech & automation (registration, check in, lead capture, session analytics).
- Conduct tech checks, oversee live streaming, latency/redundancy planning, and on site troubleshooting.
- Rapid creation of short form spokesperson clips and on ground content for real time distribution.

- Brand marketing communications across ATL/BTL & Digital activations.
- Marketing strategy & execution, GTM enablement for product showcases.

Key Responsibilities (Expanded):


- Negotiate and execute contracts for large and small scale events.
- Manage a team of event marketing specialists; allocate workstreams and coach for outcomes.
- Spearhead event/tradeshow strategy: identify priority events, pre brief internal attendees (elevator pitch, demos), run pre /post show communications, and ensure disciplined attendance.
- Organize and staff customer and sponsored events; deliver C suite experiences and partner showcases.
- Develop event strategy and objectives tied to lead generation, partner engagement, and customer advocacy.
- Build and maintain relationships with key stakeholders to understand requirements and ensure exceptional execution.
Candidate Profile:
Education: Full time MBA/PGDM in Marketing / Communications (Event specialization preferred).
Experience: Min. 14-15 years in large scale event management within BFSI/FinTech/Tech or top tier event/experiential agencies; proven delivery of 100k+ footfall or comparable multi day, multi track formats.
- Currently leading events in house for a corporation or on the agency side delivering enterprise solutions.
- Dynamic, professional, and operationally strong; hands on with the rigor to run complex, time bound programs.
- Energetic, versatile, creative problem solver with high ownership; comfortable with extended hours during peaks.
- Outstanding communication, stakeholder management, presentation, and executive presence.
- Strong MS Office (PowerPoint, Excel, Word); familiarity with design review (Figma/Adobe), project tools (MS Project/Asana), and dashboards (Power BI/Tableau).
- Demonstrated organizational, analytical, problem solving, and negotiation skills; meticulous documentation and audit readiness.
- Collaboration-first mindset with internal/external stakeholders; proactive, accountable, and resilient under pressure.
- PR/Comms exposure is a plus (press conferences, media rooms, spokesperson coordination).
Governance, Risk & Compliance:
- Adherence to regulatory protocols (e.g., government bodies) and VVIP security guidelines (SPG/Police).
- Ensure all licenses/permits, venue compliances, F&B, EHS, and insurance are in place.
- Maintain complete SOPs, SoWs, SLAs, MoUs, and audit trails (POs, GRNs, invoices, performance evaluations).
- Drive sustainability practices (waste management, reusable assets, energy efficiency) and vendor code of conduct.
